Position Summary

We are seeking an experienced and resourceful Executive Assistant to provide strategic administrative support to senior leadership. The ideal candidate will be responsible for coordinating executive activities, managing schedules, facilitating communication, and ensuring daily operations run smoothly. This role requires exceptional organizational abilities, strong attention to detail, excellent judgment, and the ability to manage confidential information with professionalism and discretion.

Key Responsibilities

Maintain executive calendars by scheduling appointments, meetings, and business engagements.

Coordinate travel arrangements, including flights, accommodations, transportation, and itineraries.

Prepare, review, and distribute reports, presentations, correspondence, and other executive documentation.

Screen and manage incoming emails, phone calls, and business communications.

Organize executive meetings by preparing agendas, documenting discussions, and tracking follow-up tasks.

Maintain accurate records, confidential files, and executive documentation.

Assist in coordinating projects and monitoring deadlines to support organizational objectives.

Conduct research, analyze information, and prepare reports for executive review.

Act as a liaison between executives, employees, clients, vendors, and external stakeholders.

Prepare expense reports and assist with financial tracking and budget-related documentation.

Perform additional executive and administrative responsibilities as required.

Qualifications

High school diploma or equivalent required; an Associate's or Bachelor's degree in Business Administration or a related discipline is preferred.

Previous experience supporting executives, senior management, or leadership teams in an administrative capacity is preferred.

Outstanding written, verbal, and interpersonal communication skills.

Strong organizational, coordination, and time-management abilities.

Proficiency in Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint) and Google Workspace.

Ability to prioritize multiple assignments while consistently meeting deadlines.

Excellent analytical, critical-thinking, and problem-solving skills.

High level of professionalism, discretion, and sound decision-making.

Ability to handle confidential and sensitive information responsibly.

Self-motivated with the ability to work independently in a remote environment.
