Position Summary
We are looking for a proactive and detail-oriented Executive Assistant to provide high-level administrative support to senior executives. The successful candidate will play a key role in managing daily executive operations, coordinating schedules, facilitating communication, and ensuring business activities run efficiently. This position requires excellent organizational skills, sound decision-making, professionalism, and the ability to handle confidential information with integrity.
Key Responsibilities
Coordinate executive calendars, appointments, and meeting schedules.
Arrange business travel, including transportation, lodging, and detailed itineraries.
Draft, edit, and organize reports, presentations, correspondence, and other executive materials.
Manage incoming emails, phone calls, and other communications on behalf of executives.
Organize meetings by preparing agendas, documenting meeting minutes, and tracking follow-up actions.
Maintain secure and organized records, files, and confidential documents.
Assist with planning, coordinating, and monitoring executive projects and business initiatives.
Research information, compile data, and prepare reports to support executive decision-making.
Serve as the primary liaison between executives, employees, clients, vendors, and business partners.
Prepare expense reports and assist with budget monitoring and financial documentation.
Support company initiatives by managing special assignments and providing additional administrative assistance.
Perform other executive support responsibilities as assigned.
Qualifications
High school diploma or equivalent required; an Associate's or Bachelor's degree in Business Administration or a related field is preferred.
Previous experience in an Executive Assistant, Administrative Assistant, Office Coordinator, or comparable administrative support role is preferred.
Excellent written, verbal, and interpersonal communication skills.
Strong organizational, planning, and multitasking abilities.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint) and Google Workspace.
Ability to prioritize competing responsibilities and meet deadlines in a dynamic work environment.
Exceptional attention to detail with strong analytical and problem-solving skills.
Professional demeanor with excellent judgment and decision-making abilities.
Proven ability to maintain confidentiality and manage sensitive information responsibly.
