Position Summary
We are seeking a professional and highly organized Executive Assistant to provide comprehensive administrative support to senior leadership. The ideal candidate will be responsible for managing executive schedules, coordinating communications, organizing meetings, and assisting with day-to-day business operations. This role requires exceptional organizational skills, sound judgment, attention to detail, and the ability to handle confidential information with the highest level of discretion.
Key Responsibilities
Manage executive calendars, schedule appointments, and coordinate meetings.
Arrange domestic and international travel, including itineraries, accommodations, and transportation.
Prepare, edit, and organize reports, presentations, correspondence, and other executive documents.
Monitor and respond to emails, phone calls, and other executive communications.
Coordinate meetings by preparing agendas, recording meeting minutes, and following up on action items.
Maintain confidential files, records, and sensitive business documents.
Support executives with project coordination and monitor important deadlines.
Conduct research, gather information, and prepare reports for business initiatives.
Serve as a point of contact between executives, employees, clients, and external business partners.
Prepare expense reports and assist with budget tracking when required.
Assist with special projects and provide additional executive and administrative support as needed.
Perform other related duties as assigned.
Qualifications
High school diploma or equivalent required; an Associate's or Bachelor's degree in Business Administration or a related field is preferred.
Previous experience as an Executive Assistant, Administrative Assistant, Office Manager, or in a similar support role is preferred.
Excellent written and verbal communication skills.
Strong organizational, planning, and multitasking abilities.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint) and Google Workspace.
Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
Excellent attention to detail, critical-thinking, and problem-solving skills.
Professional demeanor with outstanding interpersonal and communication abilities.
Ability to maintain strict confidentiality and exercise sound judgment.
Ability to work independently in a remote work environment.
