Job Summary

We are seeking a dependable and highly organized Virtual Assistant to provide remote administrative and operational support. This role is responsible for helping manage daily business activities, including scheduling, communication, documentation, and general coordination tasks.

The ideal candidate is proactive, detail-oriented, and able to work independently while managing multiple priorities in a fast-paced environment. Strong communication skills, time management, and reliability are essential for success in this role.

Key Responsibilities

Administrative Support

Manage calendars, schedule meetings, and coordinate appointments.

Prepare agendas, take notes, and support virtual meetings.

Handle email correspondence by organizing, prioritizing, and responding when appropriate.

Maintain and organize digital files, records, and documentation.

Communication & Coordination

Support communication between internal teams, clients, and external partners.

Track tasks, deadlines, and follow-ups to ensure timely completion.

Assist in coordinating projects and maintaining workflow efficiency.

Operational Support

Perform data entry and maintain accurate information across systems.

Conduct research and compile findings into clear summaries or reports.

Assist in preparing presentations, documents, spreadsheets, and reports.

Support customer or client communication when required.

Scheduling & Logistics

Arrange travel, including flights, accommodations, and itineraries.

Manage scheduling conflicts and ensure efficient calendar coordination.

Additional Support

Assist with social media scheduling or basic content tasks if needed.

Support ongoing projects and ad hoc administrative tasks.

Identify opportunities to improve processes and efficiency.

Required Qualifications

High school diploma or equivalent required; additional education preferred.

Strong written and verbal communication skills.

Excellent organizational and time-management abilities.

Professionalism, discretion, and reliability in handling tasks.

Proficiency in Microsoft Office and/or Google Workspace.

Familiarity with email, calendar, and online collaboration tools.

Ability to work independently with minimal supervision.

Strong attention to detail and multitasking ability.

Preferred Skills

Prior experience as a Virtual Assistant or in administrative roles.

Experience with tools such as Asana, Trello, or Monday.com.

Familiarity with CRM systems or client management tools.

Basic understanding of social media platforms and scheduling tools.

Strong problem-solving and analytical skills.
