Job Summary
We are looking for a highly organized and reliable Virtual Assistant to provide remote administrative, operational, and communication support. This role is key to ensuring efficient day-to-day business operations, including managing schedules, coordinating tasks, maintaining records, and supporting internal and external communications.
The ideal candidate is proactive, detail-oriented, and comfortable working independently in a fast-paced remote environment. You should be able to manage multiple priorities, adapt quickly to changing needs, and consistently deliver high-quality support across various functions.
Key Responsibilities
Administrative Support
Manage calendars, schedule appointments, and coordinate meetings for team members or executives.
Organize virtual meetings, prepare agendas, and record or distribute meeting notes.
Monitor, prioritize, and respond to email correspondence as appropriate.
Maintain accurate and organized digital files, records, and documentation.
Communication & Coordination
Act as a communication link between internal teams, clients, and external partners when required.
Coordinate tasks and ensure timely follow-up on assignments, deadlines, and project deliverables.
Support smooth information flow across departments or stakeholders.
Operational Support
Perform data entry, updates, and maintenance of databases or systems.
Conduct online research and compile insights into clear, structured summaries.
Assist in preparing reports, presentations, spreadsheets, and other business documents.
Provide support for customer or client-related communications when needed.
Scheduling & Logistics
Arrange travel plans, including flights, accommodations, and detailed itineraries.
Resolve scheduling conflicts and ensure efficient calendar management.
Additional Responsibilities
Support social media scheduling or basic content coordination where applicable.
Assist with ongoing projects and ad hoc administrative tasks.
Identify opportunities to improve processes and workflow efficiency.
Required Qualifications
High school diploma or equivalent required; higher education preferred.
Strong written and verbal communication skills.
Excellent organizational, planning, and time-management abilities.
High level of professionalism, discretion, and reliability.
Proficiency in Microsoft Office Suite and/or Google Workspace.
Familiarity with email, calendar, and virtual collaboration tools.
Ability to work independently with minimal supervision.
Strong multitasking skills and attention to detail.
Preferred Skills
Previous experience in a Virtual Assistant or administrative support role.
Familiarity with project management tools such as Asana, Trello, or Monday.com.
Experience using CRM or client management systems.
Basic knowledge of social media platforms and scheduling tools.
