Job Summary
We are seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative support to senior leadership. In this role, you will manage executive calendars, coordinate meetings and travel, handle confidential communications, and assist with day-to-day business operations. The ideal candidate is detail-oriented, resourceful, and thrives in a fast-paced environment while maintaining a high level of professionalism and discretion.
Key Responsibilities
Manage executives' calendars, appointments, and daily schedules.
Coordinate domestic and international travel arrangements, including flights, accommodations, and detailed itineraries.
Screen, prioritize, and respond to emails, phone calls, and correspondence as appropriate.
Prepare meeting agendas, presentations, reports, and record meeting minutes.
Organize executive meetings, board meetings, and company events.
Monitor action items and follow up with internal teams and external stakeholders to ensure timely completion.
Handle sensitive and confidential information with discretion.
Collaborate with various departments to support ongoing projects and business initiatives.
Process expense reports, invoices, and other administrative documentation.
Maintain accurate filing systems and business records.
Assist with special projects and perform additional administrative duties as needed.
Required Qualifications
Bachelor's degree in Business Administration or a related field is preferred.
Excellent verbal and written communication skills.
Strong organizational, planning, and time-management abilities.
Ability to maintain confidentiality and exercise sound judgment.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace.
Experience managing calendars and using virtual meeting platforms.
Strong multitasking skills with the ability to prioritize competing responsibilities and meet deadlines.
