Job Summary
We are seeking a highly organized, proactive, and dependable Virtual Assistant to provide comprehensive administrative, operational, and communication support to our team. This role is essential in helping streamline daily operations, manage schedules, coordinate tasks, and ensure smooth business workflows.
The ideal candidate is detail-oriented, tech-savvy, and capable of working independently in a remote environment. You should be comfortable handling multiple priorities, adapting to changing needs, and supporting various aspects of business operations with efficiency and professionalism.
Key Responsibilities
Administrative Support
Manage executive and team calendars, schedule appointments, and coordinate meetings.
Organize virtual meetings, prepare agendas, and take or distribute meeting notes.
Handle email correspondence, including filtering, prioritizing, and responding when appropriate.
Maintain and organize digital files, documents, and records.
Communication & Coordination
Serve as a point of contact for internal and external communications as needed.
Coordinate between departments, clients, or vendors to ensure smooth workflow.
Track and follow up on tasks, deadlines, and project updates.
Operational Tasks
Assist with data entry, database updates, and information management.
Conduct online research and compile findings into structured reports.
Prepare presentations, reports, spreadsheets, and business documents.
Support customer service or client communication tasks when required.
Travel & Scheduling Support
Arrange travel plans including flights, accommodations, and itineraries.
Manage scheduling conflicts and ensure efficient calendar organization.
Additional Support
Assist with social media scheduling or basic content coordination if needed.
Support special projects and ad hoc administrative tasks.
Continuously improve processes and suggest workflow efficiencies where possible.
Required Qualifications
High school diploma or equivalent required; associate or bachelor’s degree preferred.
Strong written and verbal communication skills.
Excellent organizational, planning, and time-management abilities.
High level of professionalism, reliability, and discretion.
Proficiency in Microsoft Office Suite and/or Google Workspace.
Experience with email, calendar, and virtual collaboration tools.
Ability to work independently with minimal supervision.
Strong multitasking skills and ability to manage competing priorities.
Preferred Skills
Previous experience as a Virtual Assistant or in administrative support roles.
Familiarity with project management tools (e.g., Asana, Trello, Monday.com).
Experience with CRM systems or client management platforms.
Basic understanding of social media tools and scheduling platforms.
