Job Summary

We are seeking a highly organized and proactive Personal Assistant to support executive leadership with a wide range of administrative and project coordination tasks. The ideal candidate will possess exceptional communication skills, technical proficiency, and the ability to manage multiple priorities efficiently. This role offers an opportunity to work closely with C-suite executives, providing essential support to ensure smooth daily operations and strategic initiatives.

Responsibilities

Manage and coordinate complex calendars, including scheduling meetings, appointments, and events using Microsoft Outlook Calendar and Google Workspace.

Provide executive administrative support such as preparing correspondence, reports, and presentations with high attention to detail.

Handle phone etiquette and multi-line phone systems to screen calls and direct inquiries appropriately.

Organize and facilitate event planning activities, including logistics coordination for meetings, conferences, and company events.

Maintain accurate records through data entry, filing, and document management using productivity software like Microsoft Office and Office management tools.

Assist with bookkeeping tasks utilizing QuickBooks and perform basic bookkeeping duties such as invoicing and expense tracking.

Support project coordination efforts by tracking deadlines, preparing materials, and collaborating with various teams.

Conduct proofreading and transcription of documents to ensure accuracy and professionalism.

Manage office operations including front desk duties, filing systems, office supplies procurement, and general clerical support.

Utilize video conferencing software for virtual meetings and ensure seamless communication across teams.

Collaborate closely with C-suite executives to prioritize tasks, prepare agendas, and facilitate effective communication.

Experience

Proven experience as an executive assistant or personal assistant supporting senior management or C-suite executives.

Demonstrated proficiency in office management, calendar management, data entry, and clerical functions.

Strong organizational skills with the ability to multitask efficiently in a fast-paced environment.

Technical proficiency in productivity software such as Microsoft Office (Word, Excel), Google Workspace (Docs, Sheets), Microsoft Outlook Calendar, DocuSign, and video conferencing platforms.

Experience with event planning, project coordination, bookkeeping (QuickBooks), and administrative support is highly desirable.

Excellent communication skills coupled with professional phone etiquette and customer service experience.
