POSITION: Exceptional Children Office Support Supervisor
LOCATION: Exceptional Children Programs
SALARY: Grade 72
TERM OF EMPLOYMENT: 12 Months
REPORTS TO: Assistant Superintendent of Exceptional Children
QUALIFICATIONS AND ATTRIBUTES:
High school diploma
Knowledge of computer operations and excellent computer skills
Strong knowledge of spreadsheets and Google Suite
High level of accuracy in bookkeeping skills and data management
Ability to operate standard office equipment
Ability to communicate effectively in written and oral form, and through e-mail
Organized and able to meet deadlines in a timely manner
Ability to think critically and solve problems
Ability to establish and maintain effective working relationships with internal and external customers
Understands and maintains student information confidentiality
Ability to work independently and as part of a team
PREFERRED QUALIFICATIONS:
Associates degree or higher in a related field
Experience with bookkeeping, contracts, and budget management
DUTIES AND RESPONSIBILITIES:
Operate and utilize digital platforms to maintain budget spreadsheets
Process timesheets and mileage reimbursement requests for the Exceptional Children Department
Create purchase orders for all Exceptional Children Department expenses, and order necessary supplies and materials
Reconcile purchases made through the department's purchasing cards
Draft contracts and obtain vendor forms and W-9 from contracted vendors
Process vendor invoices in a timely manner
Communicate and collaborate with Human Resources to ensure background checks are completed and UIDs are issued for contracted employees
Communicate and collaborate with Technology to ensure email accounts are established and badges issued for contracted employees
Monitor payment of Preschool Fee for Service and resolve issues as needed
Prepare tax forms for Preschool Fee for Service
Serve as a liaison between the district and independent educational evaluators, and ensure reports are received and uploaded to ECATS
Secure sign language interpreters for meetings when requested
Other duties as assigned.
PHYSICAL REQUIREMENTS:
Must be able to effectively communicate orally and in writing with parents, staff, contracted agencies, and community members.
Must be able to physically perform the basic life operational functions of fingering, grasping, kneeling, sitting, walking, stooping, reaching, lifting, pushing, pulling, talking, seeing, hearing, and repetitive motion.
