Description:

We're hiring an Operations Manager to be the founder's right hand and own the day-to-day machinery of the business. You will not be running marketing campaigns or talking to creators about content strategy — the marketing team handles that. You will be the person who makes sure the company actually runs: people are paid on time, contracts are signed, processes are followed, vendors are managed, and nothing falls through the cracks.

This is also a build-the-team role. We're a team of four today and growing fast. Once you're in seat, hiring is one of the first things you'll help drive — more marketing staff, admin support, and QA over our outsourced chat operation. You won't be managing a team on day one, but you'll have one within months.

We have real infrastructure in place on the systems side (Mercury, QuickBooks, Google Sheets, custom automation, posting checklists, weekly invoicing workflows) but it needs an owner who can find what's broken and tighten it. If you like building SOPs, killing chaos, and watching dashboards turn green, you'll love this.

What You'll Own

Finance & billing operations

Weekly invoicing cycle across all 19 creators (commission rates vary 30-50%; a few creators have partner-split deals to handle correctly)

Mercury bank reconciliation, payment matching, and AR follow-up on unpaid invoices

Monthly P&L close coordination with bookkeeping

Referral fee program — calculating and paying out monthly to the creators who referred others

Vendor and subscription management (audit, renew, cancel — we have real software spend to watch)

Creator operations

Onboarding new creators end-to-end: contracts, Mercury setup, payout splits, system access

Coordinating with our outsourced chat team and the in-house marketing team on each creator's schedule

Daily posting checklist oversight — make sure every creator's account hits its targets

Resolving any operational issues that come up across the roster

Process & systems

Owning and improving SOPs for every recurring workflow

Spotting gaps in our automation and either fixing them yourself or scoping the fix

Vendor relationships (banking, accounting, software subscriptions, contractors)

Compliance, recordkeeping, and basic legal admin (NDAs, contractor agreements)

Team coordination

Acting as the operational point of contact for the in-house marketing team, our outsourced chat partner, contractors, and creators on non-content matters

Coordinating with our business partners (equity holders + the agency we co-manage two creators with) on operational matters — not daily, but they're part of the picture

Light HR: hiring, contractor onboarding, payroll coordination (Gusto), scheduling, performance check-ins

Running our weekly internal ops review

Tools You'll Use

We are running on a modern, AI-forward stack. We are not a paper-and-Excel shop. The person in this seat needs to be comfortable in all of the following:

The big one — Claude / Claude Code (Anthropic's AI) We use Claude heavily to oversee and run the business. Scheduled tasks, financial reports, reconciliations, drafting comms, pulling info out of Google Sheets and Drive, summarizing data — all happen through Claude. The Ops Manager will be one of the heaviest Claude users in the company. You don't need to be a developer, but you should be:

An experienced day-to-day user of Claude (or comparable AI like ChatGPT, with the ability to switch). Claude is non-negotiable — if you've never used it, this is not your role.

Comfortable invoking scheduled tasks, asking Claude to query our systems, and verifying its output.

Able to use Claude as a force multiplier rather than a curiosity.

Daily workhorses

Google Workspace — Sheets (advanced: formulas, conditional formatting, sorting, lookups), Drive (shared drives, version history), Gmail, Calendar. Our financial source of truth is a single live Google Sheet you'll be in every day.

Mercury Banking — invoicing, AR follow-up, bill pay, expense categorization.

QuickBooks Online — bookkeeping, P&L reading, working with our accountant.

Gusto — payroll, onboarding new hires, contractor 1099s.

Operational tooling

Google Apps Script — our posting checklist and several finance automations run on Apps Script. You don't have to write it, but you should be able to read it, understand what it does, and coordinate fixes with our tech lead.

OnlyFans business mechanics — payouts, chargebacks, account states. Either prior exposure or fast pickup.

Social media analytics tools (e.g. InsTrack) for tracking creator performance.

iMessage — primary team communication channel for in-the-moment coordination.

Bonus / nice to have

Light Python or scripting literacy (we have Python pipelines and a second repo, ace-ops, that our tech lead manages on a Mac Studio).

API / no-code automation comfort (Zapier, Make, MCP integrations).

Familiarity with creator-economy platforms beyond OnlyFans (Fanvue, Reddit growth, etc.).

If most of these are foreign to you, this isn't the right role. If you've used Claude or another AI assistant to genuinely run parts of a real business, you'll feel at home.
