Document Control Specialist

Primary Purpose and Function

The Quality Control Specialist is responsible for maintaining accurate, current, and controlled documentation that supports the Company’s Quality Management System (QMS), engineering processes, customer requirements, and operational compliance. This role ensures controlled documents are reviewed, approved, distributed, retained, and revised in accordance with company procedures and applicable quality standards.

The Quality Control Specialist also supports quality assurance initiatives, document control processes, inspection documentation, ERP system maintenance, corrective actions, and cross-functional communication between engineering, quality, production, and management teams.

Essential Duties and Responsibilities

Assist in process certifications and quality system initiatives.

Develop, execute, and analyze quality reporting measures and operational metrics.

Prepare and maintain documentation for first article inspections, including:

Layout inspections

Metallurgy documentation

Part-specific capability studies

PPAP documentation

Customer-specific quality requirements

Support limited runs, machine runs, prototypes, customer samples, and sample checks.

Assist with tooling verification, troubleshooting, defect analysis, testing methods, and corrective action activities.

Respond promptly to internal and external quality concerns using corrective and preventive action methodologies.

Maintain and track all measuring devices and equipment within the Metrology Lab.

Identify statistical methods and quality improvement parameters relevant to manufacturing processes.

Assist Engineering and Quality teams with the creation and revision of:

Work instructions

Setup sheets

Inspection forms

Operational procedures and documentation

Maintain document control systems to ensure:

Current revisions are properly distributed

Obsolete documents are removed from circulation

Controlled records are properly retained

Perform ERP system data entry, including:

Part numbers

Bills of Materials (BOMs)

Routings

Process flows

Support engineering drawing updates and detailing activities.

Manage Engineering Change Orders (ECOs) and Temporary Change Notices (TCNs).

Prepare PPAP submittals and customer-required documentation packages.

Track, monitor, and report corrective actions to ensure timely completion and closure.

Assist the Quality Manager with audit preparation, records management, and quality system administration.

Compile and report KPIs, metrics, and operational dashboards.

Support communication and coordination between office, production, and management teams.

Perform additional duties and responsibilities as assigned by management in support of operational goals.

Knowledge, Skills, and Abilities

Strong organizational and document management skills.

Ability to maintain accuracy and attention to detail in a fast-paced manufacturing environment.

Working knowledge of quality systems, inspection documentation, and manufacturing processes.

Ability to read and interpret engineering drawings and technical documentation.

Strong communication and interpersonal skills.

Basic understanding of ERP systems and manufacturing workflows.

Proficiency in Microsoft Office Suite, including Excel and Word.

Ability to prioritize multiple assignments and meet deadlines.

Ability to handle confidential and controlled information responsibly.

Physical Requirements

Flexibility to travel between Schmid Tool & Engineering facilities, including Villa Park and Bensenville locations.

Ability to visit customer and supplier facilities as needed.

Ability to sit, stand, or walk for extended periods throughout the workday.

Ability to lift, push, or pull up to 35 pounds.

Ability to use standard office equipment and computers regularly.

Visual ability to review technical documents, blueprints, and drawings in detail.

Must maintain a valid driver’s license.

Education and Experience

Associate degree preferred.

1–3 years of related experience in document control, administration, quality assurance, or manufacturing support preferred.

Administrative support experience preferred.

Manufacturing environment experience preferred.

Experience handling controlled documents and records preferred.

ERP data entry experience preferred.

Experience supporting engineering or quality teams preferred.

Ability to read and write in English required.

Bilingual Spanish preferred.
