Job Description
We are seeking a proactive and detail-oriented Administration Assistant to join our Columbus, Ohio team. This hybrid and in-office position supports a medium-sized team with a diverse range of administrative, financial, and operational tasks. The ideal candidate excels in managing accounting duties, vendor relations, meeting coordination, and marketing support with a hands-on approach and strong organizational skills. Experience with QuickBooks Online and Microsoft 365 is essential, along with the ability to handle local errands efficiently.
Responsibilities
Retrieve and process incoming mail and deposits
Manage accounts payable and maintain financial records in QuickBooks Online
Follow up with client accounting teams on outstanding invoices
Record and distribute meeting minutes; track and follow up on action items
Coordinate scheduling and calendar management
Monitor sales inbox; respond or escalate inquiries appropriately
Estimate, order, and invoice client requests
Maintain vendor communication; confirm order details and track shipments
Manage software licenses and assist technical team requests
Process orders, coordinate with vendors, and manage inventory logging
Request vendor quotes and prepare client estimates with correct markups and taxes
Assist with monthly billing and credit card processing
Draft social media content and manage posting schedules
Support website updates and marketing campaigns including Mailchimp and video support
Research and onboard new local vendors; handle membership renewals
Manage warranty claims and RMA requests
Required Qualifications
Proficient in QuickBooks Online
Reliable transportation for local errands and mail drop-offs
Excellent written and verbal communication skills
Strong organizational skills with attention to detail
Ability to manage multiple tasks and priorities effectively
Self-starter with strong initiative and problem-solving capabilities
Experience with Microsoft 365
Preferred Qualifications
1+ years of administrative support experience
Associate's degree in Business Administration or related field
Experience in accounts payable and customer service
Proficiency in written and verbal communication
Familiarity with Mailchimp and social media platforms
