We are hiring an experienced on-site paralegal for our busy transactional law practice, who can do far more than basic admin support. This role is for someone who can help drive matters to completion, tee up files well for attorney work, and reduce friction. You will be a key partner in helping attorneys stay focused on high-value legal work while you help keep documents, files, and workflows moving.

Work closely with attorneys and other staff to improve workflows and support a more efficient, modern practice so that the revenue producers in our business spend more time on work that is appropriate to their level of responsibility and the needs of our clients.

You will work onsite at our beautiful and comfortable office to support matters across business, commercial, real estate, estate planning, probate, entity formation, and merger/acquisition work for Maine-based clients.

$80,000 - $100,000 yearly

Responsibilities:

We will rely on you to prepare and organize files for attorney review and client meetings, draft and assemble documents from templates and attorney instructions (e.g., LLC/corporate formation forms and resolutions, operating agreements, EIN applications, probate filings, Wills and Trusts, Advance Directives, and retrieve tax bills and instruments from online Registry of Deeds websites.

Help attorneys prepare for real estate, commercial loan, and business purchase/sale closings, update and maintain company record books, and post-closing follow-up (e.g., for issuance of final title insurance policies, record documents in Registry of Deeds, assemble closing binders).

Witness estate planning document execution.

Submit probate filings approved by attorneys to the Maine probate online filing portal.

Assist in the organization of estate tax returns.

Track moving pieces, keeping complex transactions organized according to closing agendas, tracking the status of deliverables by multiple parties to a transaction, and ensuring that the next steps in an engagement do not fall through the cracks.

Communicate with personal representatives and estate beneficiaries throughout the probate administration process.

Take initiative to gather information needed for real estate closings, such as tax obligations, confirm zoning/land use compliance, and request utility readings.

Submit documents approved by attorneys for recording in Maine land records.

Qualifications:

Strong judgment, follow-through, and document skills

Someone who can spot what is missing, ask good questions, and help move work forward without constant hand-holding

Comfortable working in a fast-moving office where priorities can shift

Detail-oriented, but not so perfectionistic that you get stuck
