This is a hybrid position requiring 3 days in office at our Middleton, WI office location. This position is for Summer 2026.

CapSpecialty is seeking a summer intern for our Administrative Services Team who will support the organization’s document management and records retention efforts. This role is responsible for preparing and scanning physical documents into electronic systems to ensure accurate digital recordkeeping, as well as coordinating the proper organization and storage of scanned files. This is a hands-on, detail-oriented role that provides exposure to administrative operations within a professional office environment.
Duties/Responsibilities:
Prepare physical documents for scanning, including organizing, sorting, and removing staples or bindings.
Scan documents into electronic systems in a timely and accurate manner.
Review scanned files for clarity, completeness, and readability.
Ensure electronic documents are saved in the correct folders and organized according to company standards.
Coordinate transfer of scanned documents for secure storage and/or shredding (shredding performed by others).
Maintain confidentiality and handle sensitive information with discretion.
Assist the Administrative Services team with additional projects and tasks as assigned.

Education and Experience:
High school diploma required; current college student preferred.
Prior office experience preferred.
Physical Demands:
Prolonged periods of sitting at a desk and working on a computer.
Ability to lift and move boxes of documents (up to 30 lbs. at times).
