About the Role
We are seeking a proactive, tech-savvy professional to serve as the operational backbone of our office and a direct partner to the CEO. This role is designed for a "high-potential" individual who is highly organized, excels in creative digital tasks, and is eager to leverage AI in a high-stakes business setting. While this is an Administrative Assistant role, we value candidates with strong organizational instincts and a passion for research and back-office excellence. This position offers a pathway for those interested in growing into future leadership roles such as Office Manager, Proposal Coordinator, or Operations Coordinator.
Location & Eligibility: * Citizenship: Must be a U.S. Citizen due to the nature of our work.
Availability: Immediate on-site requirement. Eligible for a hybrid schedule (3 days in-office) after 6 months for candidates within 35 miles of the office.
Qualifications & Traits
Experience: 1 years in a corporate or professional office environment, preferably supporting executive-level leadership.
Technical Skills: Extensive Proficiency inMicrosoft 365, and social media platforms (Youtube, Facebook, Instagram, LinkedIn, etc.), and comfort using digital research/AI tools.
Education/Mindset: Minimum 3.0 GPA (if Intern), Associate's Degree in Business Administration, Marketing, Communications, or a related field preferred. Must possess strong organizational instincts and an eye for detail.
Attributes: Exceptional writing skills and research ability, etiquette and very well spoken, intellectual curiosity, a creative eye, and a high degree of integrity and professionalism.
Additional Requirements: Must pass comprehensive Background, Drug, and Credit checks.
Key Responsibilities
Direct CEO Support: Act as the primary point of contact for the CEO. Manage complex executive scheduling, travel arrangements, partner meeting coordination, and priority correspondence to maximize leadership efficiency.
Office Administration: Greet visitors and ensure a professional environment with neatness. Handle sensitive documentation with total discretion.
Social Media & Engagement: Assist in managing company social media profiles, creating basic content, and maintaining an active, consistent online presence.
Deep Research & Intelligence: Conduct thorough research on industry trends, competitors, and vendors to provide concise briefs for executive decision-making as directed.
AI & Innovation: Proactively learn and utilize AI tools to automate routine tasks, draft content, and improve overall workflow.
Document Management: Maintain organized digital filing systems and assist with the preparation of high-level reports and presentations or proposals.
Back Office Support: Provide operational support including data management, records maintenance, vendor coordination, and internal process organization.
Quantifiable Performance Measures
Efficiency: Complete all assigned administrative and digital tasks within 2472 business hours.
Content Consistency: Maintain a regular, error-free posting schedule across designated social media platforms.
Accuracy: Maintain a 98% or higher accuracy rate in all data entry, documentation, and executive scheduling.
Research Quality: Deliver well-sourced, concise research briefs within established deadlines.
AI Implementation: Successfully utilize AI to streamline or automate at least one recurring task every six months as directed.
