Position Overview:

The Shipping and Receiving Manager motivates, inspires and leads his employees by example. Overall attitude and motivation is a direct result of how the Shipping and Receiving Manager leads their employees. An enjoyable and efficient working environment can be achieved when employees work hard and follow the lead of the Shipping & Receiving Manager.

Provides leadership, coaching and mentoring to subordinate group.

RECEIVING

• Record all receipts for purchase orders in Global Shop received each day

• Verify that vendor paperwork matches what was actually received and matches the purchase order

• Check the MTR to confirm the material matches the applicable specification (for example ASTM) of that which was ordered and shipped

• Monitor purchase order due dates for materials or parts which are overdue. Contact vendors to confirm due dates

• Contact vendors when discrepancies or unexpected backorders arise

• Inform project manager of any discrepancies or backorders

• Properly mark all incoming materials with “D-Number”

• Mark incoming small parts with job number and distribute them to the proper area or store them for future use

• Unload trucks

D-BOOK & MATERIAL MARKING

• It is mandatory that materials are to be recorded in the D-Book and the Material Test Report (MTR) is to be assigned a “D” number and filed

• All materials are to be marked properly

SHIPPING

• Prepare a packing list, handshipper, and/or bill of lading for every part or material leaving Ducworks either as a finished product or for outside processing

• Verify quantities of items shipped before preparing packing list, handshipper, and/or bill of lading and check drawings to ensure that items are not missed

• Schedule and organize local deliveries on Ducworks’ trucks with assistance of Project Managers and Production Manager

• Utilize couriers for local shipments whenever practical

• Palletize, box, crate or otherwise prepare parts for shipment

• Schedule LTL trucks (such as FedEx Freight, Old Dominion, etc.) and prepare bills of ladings

• Assist with loading of trucks

• Assist Project Managers with tracking the progress of parts that have been sent to vendors for outside processing and schedule their timely pickup

• Scan all signed packing lists, handshippers, and/or bills of ladings in *.pdf format and save them by job number in an organized manner on the server

• Help make deliveries as needed

ORGANIZATION

• Order shipping materials (shrink wrap, tape, banding, cardboard, bubble wrap, etc.) and maintain adequate inventory of supplies

• Keep shipping area clean and organized

• Ensure that delivery trucks are washed periodically, that the interiors are kept clean, that they are in safe working condition, and that regular maintenance, especially oil changes, are up to date

• Keep a log of delivery truck repairs and maintenance

• Attend production meetings and take notes on the progress of various jobs

• Turn shipping & receiving paperwork into the accounting office in a timely manner

• Balance employee’s time daily and complete by 10 a.m. each morning

SUPERVISION DUTIES

• Supervise the driver(s) daily activities

• Assist driver(s) with loading of trucks and route planning

• Verify daily time sheets and make corrections as necessary

• Supervise the Yard Dogg’s daily activities

• Prepare and attend S&R employee reviews

OTHER ACTIVITIES

• Whenever practical, assist with assembly or other tasks to prepare parts for shipment

• Always monitor the quality of parts being shipped. Many times the shipping department is our last line of defense against shipping bad parts. If parts appear to be defective or of poor quality, notify the Quality Manager, Inspection Department and/or the Project Manager.

• Conduct weekly Toolbox Safety Meetings. Turn in an agenda, signed by all attendees each week to Human Resources. Topics should include at least one pertinent safety principle and a quality item.

• Understand the Ducworks Quality Manual and your specific responsibilities relating to our quality program

• Understand the Ducworks Company Manual. Abide by its principles and ensure that all employees under your supervision do likewise
