Office Assistant
Jay's Heating, Air & Plumbing $18-22/hour Monday-Friday, 8:00 AM - 5:00 PM
Jay's Heating, Air & Plumbing is growing and looking for an organized, customer-focused Office Coordinator to support our installation and sales teams.
This role is ideal for someone who enjoys keeping operations running smoothly, communicating with customers, and managing multiple moving pieces in a fast-paced environment. You'll play a key role in coordinating schedules, supporting the install process, and helping ensure customers have a positive experience from start to finish.
What You'll Do
Coordinate daily installation schedules and job preparation
Create and manage job files for the installation department
Communicate with customers regarding scheduling and project updates
Coordinate subcontractors, permits, and inspections
Support communication between installers, field supervisors, vendors, and office staff
Assist the sales team with scheduling appointments and tracking leads
Help ensure jobs move efficiently from sale to completion
Maintain accurate records and clear internal communication across departments
What We're Looking For
2+ years of administrative, scheduling, or coordination experience
Strong organizational and multitasking skills
Excellent written and verbal communication
Ability to stay calm and adaptable in a fast-paced environment
Proficiency with Microsoft Office and web-based software
HVAC, plumbing, construction, or home service industry experience is a plus
Dispatching or purchasing experience preferred
High attention to detail and follow-through
