JOB SUMMARY
The Organizational Manager is a senior operational leader responsible for building, maintaining, and optimizing the internal systems that drive organizational efficiency and growth. This role serves as the connective tissue between leadership vision and day-to-day execution — bridging strategy with operations through structured processes, data-driven accountability, and AI-powered tools.
The Organizational Manager will be building internal operational infrastructure from scratch, including CRM, SOPs, communication systems, and organizational structure. This role will also oversee KPI tracking and team accountability. This individual is equally comfortable supporting C-suite leadership as an executive assistant and leading cross-functional teams toward measurable outcomes.
The company operates within the Microsoft ecosystem and prefers all operational systems to remain within Microsoft infrastructure where possible (Microsoft Teams, OneDrive/SharePoint, Dynamics Business Central, Power BI, and related tools), supplemented by platforms such as Asana where necessary.
1. Systems & Operations Management
Design, implement, and continuously improve Standard Operating Procedures (SOPs) across all departments
Pioneer, create, proposed then implement an organization's CRM platform, ensuring data integrity, pipeline accuracy, and team adoption
Define, monitor, and report on Key Performance Indicators (KPIs) for all teams and functions
Lead weekly, monthly, and quarterly business rhythm meetings aligned with the EOS Rocks and Scorecard methodology
Identify operational bottlenecks and deploy process improvements using AI-powered workflow tools
Select, implement, and fully operationalize a CRM system (preferred: Microsoft Dynamics 365 Business Central or equivalent Microsoft-integrated solution), including setup, data structure design, team onboarding, and ongoing optimization.
Design and implement company-wide file and folder organization standards using Microsoft OneDrive and SharePoint, including naming conventions, access control, versioning, and documentation hierarchy.
Establish and maintain internal operational workflows and communication systems (primarily through Microsoft Teams) to ensure clarity, eliminate duplicated work, and improve cross-departmental alignment.
2. EOS Implementation & Integration
Champion and manage the full EOS (Entrepreneurial Operating System) implementation across the organization
Facilitate Level 10 Meetings (L10s), facilitate the Issues Solving Track (IDS), and maintain the organizational Vision/Traction Organizer (V/TO)
Track Rocks, Todos, and Issues with rigor and ensure 90-day sprint accountability across all teams
Serve as the internal EOS integrator and coach for department leads
NOTE: EOS implementation will be prioritized AFTER foundational systems are established, including CRM setup, KPI frameworks, SOP structure, and internal communication workflows.
3. Executive Assistant & Leadership Support
Provide high-level executive support to the CEO/Founder including calendar management, meeting preparation, and priority filtering
Prepare executive briefings, dashboards, and reports for leadership decision-making
Coordinate between executives and department heads to ensure alignment on priorities and deliverables
Act as a trusted liaison and gatekeeper for leadership's time and focus
4. Accountability & Performance Culture
Build and maintain a culture of ownership and accountability across all levels of the organization
Track team and individual commitments against KPIs and SOP benchmarks and escalate when necessary
Conduct regular performance reviews and pulse checks with team leads
Develop accountability frameworks and scorecards aligned with organizational goals
5. Communication & Internal Alignment
Serve as the central communication hub ensuring clear, consistent, and timely information flow
Draft and distribute internal communications, announcements, and operational updates
Manage meeting agendas, follow-up action items, and inter-departmental communication cadences
Facilitate clarity between leadership vision and team execution through structured communication channels
Build and enforce structured internal communication workflows using Microsoft Teams channels, ensuring all departments operate with aligned visibility and no duplication of effort.
6. AI & Technology Integration
Identify and implement AI tools to automate repetitive processes, reporting, and communications
Stay current on emerging AI platforms and evaluate their applicability to business operations
Train team members on new technology adoption and ensure organization-wide tool utilization
Create AI-assisted SOPs, workflows, and reporting templates that reduce manual effort
JOB QUALIFICATIONS
Education & Experience
Bachelor's degree in Business Administration, Operations Management, or a related field (Master's preferred)
3–7+ years of experience in operations, project management, or organizational leadership roles
Demonstrated experience working within or implementing EOS (Entrepreneurial Operating System)
Proven track record of managing CRM systems (e.g., HubSpot, Salesforce, Monday.com, or equivalent)
Strong preference for candidates with experience implementing Microsoft-based business systems (Dynamics 365 Business Central, Power BI, Teams, OneDrive/SharePoint ecosystems).
Technical Skills
Proficiency in CRM platforms and data management (HubSpot, Salesforce, Zoho, or similar)
Experience building and managing KPI dashboards and reporting systems
Hands-on experience developing, documenting, and enforcing SOPs
Familiarity with AI tools and productivity platforms (ChatGPT, Notion AI, Zapier, Make, etc.)
Proficiency in project management tools (ClickUp, Asana, Monday.com, or similar)
Strong command of Microsoft Office Suite and/or Google Workspace
Strong proficiency in Microsoft ecosystem tools is preferred, including Microsoft Teams, OneDrive/SharePoint, Dynamics 365 Business Central, and Power BI for reporting and operational dashboards.
