Virtual Assistant
Location: Remote -- Open to international remote candidates.
This is a remote offshore independent contractor position intended for candidates located outside Canada and the United States.

Lexiar Homes is looking for a highly organized Virtual Assistant to support the owner, project administration, bookkeeping, and financial administration for the homebuilding side of the business. This role will focus primarily on keeping Lexiar Homes' back-end operations accurate, organized, and up to date. The ideal candidate is detail-oriented, proactive, comfortable with construction-related administration, and able to support the owner and project team with documents, schedules, project expenses, supplier communication, reporting, and inbox/calendar management.
Key Responsibilities
Maintain and update project information in BuildXact.
Upload documents, site photos, inspection reports, deficiency lists, and project records.
Book municipal inspections through Calgary Vista as directed.
Communicate with suppliers, trades, architects, engineers, and vendors.
Track supplier quotes, project estimates, outstanding follow-ups, and quote status.
Assist with project expense tracking and budget documentation.
Track invoices, vendor bills, accounts payable, and accounts receivable.
Coordinate QuickBooks records and support the monthly bookkeeping organization.
Prepare monthly financial summaries and reports for ownership.
Support owner inbox management, email sorting, follow-ups, and calendar scheduling.
Organize and maintain digital files, contracts, quotes, reports, and project documentation.
Assist with design selection tracking, material order follow-ups, and project admin tasks.
Flag missing information, overdue items, outstanding invoices, and urgent follow-ups to ownership.
Manage and update Lexiar Homes' social media accounts, including posting project updates, organizing content, coordinating basic graphics or captions, and maintaining a consistent online presence for the business.
Qualifications
Minimum 3 years of experience in virtual assistance, office administration, project administration, bookkeeping support, or executive support.
Excellent written and spoken English.
Strong attention to detail, organization, and follow-through.
Experience with QuickBooks required.
Strong Microsoft Excel skills required.
Experience with BuildXact, Calgary Vista, or construction administration is a strong asset.
Experience supporting construction, trades, real estate, or homebuilding businesses is preferred.
Ability to manage confidential financial and business information professionally.
Strong email management, calendar management, and document organization skills.
Comfortable communicating with suppliers, trades, vendors, and internal team members.
Self-motivated and able to work independently with minimal supervision.
Candidates must be available to work during Mountain Time business hours.
Pay and Benefits
Full-time hours, remote position.
Independent contractor role.
Pay: $8-$10 USD per hour, based on experience, communication skills, organization, and relevant administrative experience
This is an administrative support role. No sales or commission requirements are involved.
