Job Description

What You'll Do: The Bureau of Infectious Diseases is seeking an Administrative Professional 4 to perform non-routine administrative tasks & provide secretarial support. This position will:

Monitor, organize and track requests sent to the Bureau Chief (e.g., email, calendar requests)

Respond to correspondence (e.g., sensitive and /or confidential material)

Review and summarize fiscal, operational, and personnel reports

Research and prepare data for budget inclusion

Monitor spending and maintain fiscal records

Represent bureau or agency on inter-divisional task forces or committees

Coordinate acquisition and maintenance of bureau office equipment (e.g., telephones, copiers, computers, typing equipment)

Track progress of Bureau initiatives, routine and ad hoc deadlines and coordinate activity to ensure on-time completion

Maintain calendar and/or make travel arrangements for supervisor

Take and transcribe dictation and/or minutes of meetings

Prepare records retention and disposal schedules and arrange record transfers

Qualifications

30 mos. exp. or 30 mos. trg. in secretarial/administrative professional field. -Or completion of associate core coursework in secretarial science or business office applications from accredited career school or community college AND 12 mos. exp. in secretarial/administrative professional field. -Or 12 mos. exp. as Administrative Professional 2,16872. -Or equivalent of Minimum Class Qualifications For Employment noted above.

Unless required by legislation, the selected candidate will begin at Pay Grade 10, Step 1 of the Exempt Pay Range Schedule ($26.92 per hour), with an opportunity for pay increase after six months ($28.40 per hour) of satisfactory performance and then a yearly raise thereafter.
