Our client is seeking an experienced Executive Assistant to support the Infrastructure Leadership Team. This role is designed to remove administrative burden from senior leadership, allowing them to focus on mission-critical and high-impact business initiatives. The Executive Assistant will work closely with leaders to manage priorities, coordinate schedules, and ensure follow-through on key initiatives across the organization.
This position requires strong organizational skills, attention to detail, discretion, and the ability to proactively manage competing priorities in a fast-paced environment.
Key Responsibilities
Leadership & Meeting Support
Act as a meeting facilitator for designated leadership meetings
Send Outlook invitations and manage attendee coordination
Prepare meeting agendas in collaboration with leadership
Attend meetings, capture action items, and document follow-ups
Prepare meeting minutes, task lists, and distribute materials
Track and follow up on completion of assigned action items
Calendar & Time Management
Maintain and manage executive calendars
Schedule meetings and resolve scheduling conflicts
Coordinate across departments and multiple time zones
Protect executive focus time when appropriate
Follow-Up & Task Management
Act as a follow-up manager to ensure accountability on open tasks
Track tasks related to business initiatives and strategic priorities
Partner with leadership to monitor progress and completion
Project & Administrative Support
Assist leaders with special projects as needed
Prepare documents, presentations, and spreadsheets
Support reporting and data organization
Maintain organized digital filing systems
Onboarding, Events & Team Support
Support onboarding logistics for new team members
Assist with company events, meetings, and off-site coordination
Provide general administrative assistance to team members as needed
Expense & Travel Support
Assist with expense report preparation
Coordinate business travel including flights, hotels, and itineraries
Support on-site visit logistics for customers or partners
Compliance, Security & Credential Tracking
Track employee badging and credential requirements
Manage security clearance processes, applications, and renewals
Maintain confidentiality of sensitive and secure information
Work Environment & Schedule
Primarily on-site in an open-plan office environment
Occasional travel may be required
Standard work schedule: Monday–Friday, 7:00 AM–5:00 PM
Qualifications
Minimum 5+ years of executive-level administrative support experience
Strong customer service background (internal and external)
Experience with office management and administrative operations
High school diploma required; business-related degree preferred
Excellent written and verbal communication skills
Proven ability to manage tasks and projects with a high level of ownership
Strong organizational, time management, and critical-thinking skills
High sense of urgency and attention to detail
Ability to communicate effectively at all levels of the organization
Trustworthy with confidential and sensitive information
Proficient in Microsoft Office (Outlook, Word, Excel, PowerPoint)
Experience with remote meeting platforms (Microsoft Teams, Zoom, WebEx, Skype)
