GENERAL STATEMENT OF DUTIES

This classification performs a variety of legal functions requiring specialized knowledge of legal procedures and documents that support the accuracy and reliability of further processes of the District Attorney's Office.

SUPERVISION RECEIVED

This position works under the general supervision of the District Attorney or his/her designee who periodically reviews the work for adherence to the appropriate policies and standards.

Essential Functions

ESSENTIAL FUNCTIONS

(The following description of duties may not be all inclusive and other duties may be assigned at the discretion of management).

Draft and independently prepare initial legal documents, pleadings, subpoenas, orders, warrants, extraditions, modification orders and other materials of import, often of a confidential nature from brief verbal instructions, research, interviews, notes or personal knowledge.

Coordinate preparation of staff and material for grand jury, criminal and civil forfeiture cases, trials, extradition and probation violations. Prepare, issue and file with the Court a wide variety of necessary trial documents, reports and records. Establish and maintain docket of cases with dates, notify appropriate people and calendar of documents prepared. Notify and/or subpoena all appropriate people; arrange travel accommodations if necessary.

Determine sequence of procedural steps to move paperwork through department in a timely manner. Monitor attorneys' work schedules to ensure completion of legal tasks on time in accordance with court and statutory time frames.

Enter and maintain electronic files; ensure completeness and readiness when needed; maintain associated master files and records

Regular physical attendance at the employer's facility is required.

Qualifications

QUALIFICATIONS

Four years clerical experience of a progressively responsible nature, two years of which must have been in a public or private law office or a satisfactory equivalent combination of experience and training.

PREFERRED KNOWLEDGE AND SKILLS

Past government experience

Experience working directly with the public

Proficiency in MS Excel

Proficiency in MS Word

Experience working with law enforcement and criminal justice

Knowledge, Skills & Abilities

KNOWLEDGE, SKILL AND ABILITIES RQUIRED BY THIS POSITION

Thorough knowledge of: modern legal office practices, procedures, documents, terminology, phrases, business English, grammar and composition; considerable knowledge of statutes, rules and regulations governing legal processes of a District Attorney's Office; considerable knowledge of record keeping and reporting; reasonable knowledge of law enforcement and criminal justice source and resource agencies.

Skill in: the use of modern office and computer equipment; typing and word processing.

Ability to: independently conduct departmental research and prepare legal reports and correspondence; establish and maintain records, reports and statistical data; communicate effectively both orally and in writing; make decisions independently in accordance with established policies and to use initiative and judgment in carrying out tasks and responsibilities with general instruction and guidance; meet and deal effectively with other employees, attorneys, outside agency personnel, law enforcement officials and the public, and maintain confidentiality

GUIDELINES

All work is performed within departmental policy and procedure; Federal, State and County rules and regulations; Oregon Revised Statutes; Oregon Administrative Rules; court regulations and procedures; criminal and civil codes; numerous legal reference materials and manuals; various dictionaries and secretarial handbooks. The employee uses considerable judgment, initiative and experience to interpret and choose between alternatives.

PERSONAL CONTACTS AND PURPOSE OF CONTACTS

Contacts are with co-workers, court personnel, County departments, law enforcement officials, Federal and State agencies, attorneys, clients and the public to resolve issues, to provide service and to give or exchange information.

PHYSICAL DEMANDS AND WORK ENVIRONMENT

Work is performed in an office environment and is generally sedentary; however, it may require bending, climbing, kneeling, lifting up to 25 pounds, pulling, pushing, standing and walking.
