To assist and relieve administrative supervisor(s) of paperwork and impediments utilizing efficient methods through the use of technology so that he/she may devote maximum attention to the central problems of the Department of Principal Leadership.
JOB QUALIFICATIONS: * An Associate Degree or higher in Business Administration, or commensurate experience equivalent to such qualifications.
* At least three years of experience in clerical/office management-related work.
* Demonstrated proficiency in using Google products, Microsoft programs, editing web content on a personal computer, including speed and accuracy.
* Skilled at operating general office equipment.
* An ability to handle confidential matters, set priorities, work well under pressure with attention to detail, and self-motivated.
* A customer service attitude with an ability to do business with people in difficult situations.
* The ability to work cooperatively with others and to take instructions.
* The ability to communicate effectively both in written and oral form to the public and district staff.
* Such alternatives to the above qualifications as the Board of Education may find appropriate and acceptable.
ESSENTIAL DUTIES: * Provides direct support to the Executive Director of Principal Leadership & Director of Student Operations.
* Serves as the first point of contact for district administrators and guides them to the appropriate route for resolution.
* Compose various materials such as memos, agendas, letters, etc.
* Assists with planning/implementation of professional development opportunities for district leadership.
* Maintains a regular filing system, as well as confidential files, and processes incoming correspondence as instructed.
* Maintains daily calendars and maintains a schedule of appointments and arranges for conferences and meetings.
Handles conference and travel arrangements for the administrators in the Department of Principal Leadership.
* Works with building secretaries for training on building procedures and essential software programs.
* Prepares communications for the Board of Education, including agenda information and weekly Board of Education reports and updates.
* Handles inquiries/concerns from staff members or parents requesting appointments.
Interacts and listens to legitimate concerns and makes appropriate referrals.
Places, receives and screens telephone calls and records messages.
* Maintains budget and accounts as well as the district credit card for the Executive Director of Principal Leadership and Director of Student Operations.
Responsible for the input and management of requisitions relating to the general fund, special account(s) and grant monies.
* Corresponds and acts as liaison with outside businesses, organizations, and community members.
Prepares and disseminates contracts and materials to outside agencies or vendors utilizing emails, mail, and other technology-based communications.
* Utilizes software applications to design various forms, presentations, databases and publications.
Conducts research and project management, as requested.
* Keeps current with the ever-changing state/federal rules and regulations and provides current forms and documentation in regard to specialized programs (e.g.
special education, limited English proficiency). * Ensures the safety of students.
* Establishes and maintains cooperative professional relationships.
* Remains free of any alcohol or nonprescription controlled substance and abuse of any prescribed controlled substance in the workplace throughout employment in the district.
* Exhibits professional behavior, emotional stability, and sound judgment.
* Serves as a role model for students in how to conduct themselves as citizens and as responsible and intelligent human beings.
* Understands the legal responsibility to help instill in students the belief in, and practice of, ethical principles and democratic values.
* Maintains confidentiality and respect for confidential information at all times.
* Other duties as assigned by the Superintendent or his/her designee.
TERMS OF EMPLOYMENT: 261 days (251 work days and 10 paid holidays); 8 hours per day, excluding lunch; number of days of vacation, holidays, and salary as determined by Negotiated Agreement.
Work year to be established by the Board.
