Position Overview
We are seeking a detail-oriented and production-focused Order Entry / Research Lead to oversee incoming requests, manage order entry workflow, and lead research efforts for medical, billing, employment, and other records.
This role is a working lead position—you will actively handle order entry and research while ensuring team productivity, accuracy, and adherence to SOPs.
Key Responsibilities
Order Entry & Case Setup
Review incoming requests, subpoenas, and authorizations
Accurately enter new orders into internal system
Identify correct record types (medical, billing, radiology, employment, etc.)
Prepare and organize custodian packets for processing
Research & Provider Identification
Research healthcare providers, facilities, employers, and custodians
Verify contact details, addresses, and records departments
Maintain and update internal database for efficiency and repeat use
Reduce duplicate research by leveraging existing system data
Team Leadership & Workflow Oversight
Monitor daily incoming vs. completed order volume
Prioritize workload and assign tasks as needed
Ensure adherence to company SOPs and turnaround times (72-hour goal)
Train and coach team members on research and order entry processes
Quality Control
Verify accuracy of entered orders (names, DOB, case details, scope)
Ensure consistency across all documentation and entries
Identify and correct errors before orders move to production
Communication & Coordination
Collaborate with Case Managers, Production, and Call Team
Document clear and detailed notes within each order
Escalate issues or delays proactively
Daily Performance Expectations
Maintain high accuracy with minimal errors
Complete order entry and research efficiently (target-based production)
Contribute to keeping incoming and outgoing order volume balanced
Support team in meeting daily and weekly production goals
Qualifications
2+ years experience in:
Medical records retrieval, legal support, or similar field
OR strong administrative / data entry background with research experience
Strong attention to detail and organizational skills
Ability to manage multiple priorities in a fast-paced environment
Experience leading or training team members preferred
Proficiency in Microsoft Office and database systems
