We are a large, fastpaced apartment community in Newburgh, NY seeking a highly organized and detailoriented Administrative Assistant to join our team. Our office handles a high volume of daily activity, and we need someone who thrives in a busy environment, can juggle multiple priorities, and consistently follows through on assigned tasks. This position requires someone who is organized and extremely detail oriented who works well under pressure.
Key Responsibilities Include:
Answering phones and taking accurate messages
Assisting tenants with questions, concerns, and service requests
Maintaining filing systems and office records
Creating and managing maintenance work orders
Scheduling and coordinating extermination services
Handling mailings, faxing, and general office correspondence
Assisting with preparation of legal documents
Updating and maintaining waitlist applications (data entry)
Providing administrative support to office staff as needed
Requirements:
Prior administrative experience (this is not an entrylevel position)
Proficiency in Outlook, Word, and Excel
Excellent customer service skills and a clear, professional phone presence
Ability to multitask, stay organized, and work well under pressure
Strong attention to detail and followthrough
Reliable transportation for occasional errands (bank, post office, etc.)
Familiarity with Section 8, LIHTC, or affordable housing programs is a plus
Schedule:
Fulltime, MondayFriday, 8:30 AM4:30 PM
