Administrative Assistant 2 - Information Technology

Part-time: Approximately 20 hours per week

Starting pay range: $23.90 - $30.00 per hour. Excellent benefits package, including up to 10% retirement contribution.

Based in Springfield, Oregon. The AA2 will be expected to work onsite at least some days per week, with remote work from home available as well.

Oregon Research Institute is seeking an Administrative Assistant 2 to work with the IT Manager to manage software and procurement lifecycle; vendor discovery; project planning support; negotiating with vendors; ordering, implementation, reviewing, and renewing hardware maintenance agreements; and managing documentation. While this position does not require expertise in information technology, we do expect the successful candidate to have a general familiarity with IT systems and a willingness to learn about the software and hardware system requirements at ORI. Additional duties may include managing ORI's social media accounts and creating media to post on the ORI website and other social media platforms.

ORI is an independent behavioral sciences research center dedicated to understanding human behavior and improving the quality of human life through the prevention and treatment of health, educational, and social problems. Our work is broad in scope, from basic research to understand the causes of human behavior, to applied research to develop programs to promote behavior change.

Examples of Duties:

Current inventory to manage includes:

20 software packages

5 hardware maintenance contracts

Phone contracts with Verizon, AT&T, and RingCentral

Library contracts with DeepDyve, OCLC, Copyright Clearance Center, and TinyCat

Internet service contracts with Comcast and Sterling

Provide end user license management and assignments for software subscriptions.

Manage VoIP telephone software administration: licensing, number assignment, and billing.

Administer cell phones and accounts, including ordering, plan changes, contracts, troubleshooting, and billing.

Communicate with employees about eligibility and pricing related to entity discounts.

Communicate with vendors about plans, contracts and billing.

Planning and support for projects that need large scale wireless solutions.

Manage device ordering and assist with equipment setup (i.e., Amazon Dots, iPads, etc.) for research projects.

Assist IT Manager with budget tracking; approve and code invoices for IT budgets; and reconcile credit card statements monthly.

Help track annual budgets and coordinate year-end spending.

Administrative support for SORT Committee (supporting research technology):

Schedule meeting; scribe; help create agendas; assemble and send out packet.

Work with IT staff to maintain and update IT support information on the ORI inhouse website.

Managing ORI's social media accounts and working with the ORI Media Team to create and post items.

Position Requirements

Skills and abilities:

Ability to work independently at a variety of clerical, technical, and administrative tasks of a complex and confidential nature.

Familiarity with general office procedures; ability to analyze and coordinate workflow procedures and requirements.

Ability to establish a set of project or administrative priorities.

Strong communication skills and proficiency in spelling, grammar, punctuation, and language use.

Knowledge of Windows or Macintosh environments. Proficiency with word processing, database, spreadsheet, desktop publishing, and/or graphic software.

Ability to write copy for social media and website content desired.

Experience and training:

Graduation from high school or equivalent with six or more (6+) years of progressively responsible clerical, secretarial, or administrative work, including experience and/or training with Windows or Macintosh environments, or any equivalent combination of education and experience which provide the applicant with the knowledge, skill and ability required to perform the job.

Required: Experience and/or training with Microsoft Excel.

Preferred: Accounting/budgeting experience.

Preferred: Familiarity with using a helpdesk system such as Fresh Desk to track service requests.

Preferred: Experience working with social media publishing and content creation.

Personal traits and characteristics: Ability to accept responsibility, perform well under pressure, prioritize work effectively, and demonstrate good judgment. Must be willing to adhere to the principles of confidentiality governing research work, and to the ORI computer acceptable use policy. Must value a collaborative environment and have good interpersonal/communication skills.
