ACCOUNTS PAYABLE SPECIALIST ANNOUNCEMENT OF PROFESSIONAL OPPORTUNITY NOOKSACK VALLEY SCHOOL DISTRICT ACCOUNTS PAYABLE SPECIALIST DISTRICT OFFICE General Description The responsibilities of this position are to process purchase orders, checks and invoices for payment, security record maintenance, and other duties as assigned.

Responsibilities * Prepares invoiced purchase orders for payment; inputs information to computer for vouchers; balances accounts payable funds; locates, identifies, and corrects errors and discrepancies; submits vouchers for payment by the Board of Directors.

* Maintains accounts payable ledgers, records and files for proper documentation and retrieval.

* Works with schools and departments to ensure receipt of merchandise prior to payment of invoices; verifies monthly statements; tracks and monitors outstanding invoices.

* Prepares and encumbers purchase orders; maintains files for purchase orders and vendor lists, including general funds, transportation and capital projects; compiles and verifies orders; processes purchase orders and disseminates copies as appropriate; research prices as necessary to ensure best price and product.

* Maintains liaison with vendors; tracks and troubleshoots order questions and problems; initiates contacts and discussions to ensure cost-effectiveness.

* Maintains liaison with district staff regarding purchases, vendors, prices and procedures; provides a variety of guidance and procedural instruction in accordance with established procedures; initiates contacts and discussions to ensure cost-effectiveness.

* Processes purchase orders, checks, and corrects accounting numbers as appropriate.

* Assists the Business Manager with a variety of accounting and budget functions to assure current and accurate financial information, as assigned.

* Processes warrant certifications and warrant registers on computer system; may be required to process and mail warrants (back up for receptionist). * Maintains records and files and prepares reports as needed; year-end, Department of Revenue, and 1099's to vendors and a variety of accounts payable related reports.

* Processes and verifies accounts payable distribution list; maintains an accurate list of current vendors; maintains correct addresses and other information; reviews and updates as necessary.

* Maintains current knowledge of rules regulations, legislation and requirements governing accounts payable and purchasing; learns new skills as required.

* Establishes procedures to comply with state and federal rules and regulations; trains and provides support to district staff in accounting and purchasing as necessary.

* Puget Sound Schools Risk Management Pool - coordinates the reporting of insurance claims and completes other related reports as required.

* Bid preparation and publication for fuel, dairy, and bakery bids annually.

* Monthly billing for accounts receivable.

* Fiscal review of bank records, journal entries and F-197.

* Enter and review local receipts entered monthly to double check for accuracy * Prepare comp tax monthly.

* Prepares unemployment compensation claims * Prepare employee L & I claims * Coordinates the district-wide quarterly safety meeting * Assist with HR/Payroll as needed (data entry, reviewing, etc.) * Other duties as assigned by the Superintendent or the Business Manager Professional Qualifications * Associate degree or equivalent education required.

* Minimum of two years of general accounting, accounts payable and purchasing experience.

* Preference for experience being school-related with knowledge of specialized terminology * Proficient in the use of office practices, computer, office machines, business English and letter writing, grammar, and filing * Knowledge of accounts payable terminology, rules, regulations and procedures * Knowledge of office and accounting procedures * Skill in listening and eliciting information * Skill in problem resolution * Ability to troubleshoot problems * Skill and accuracy in mathematical calculations * Skill and accuracy in 10-key operation * Ability to organize and prioritize duties * Skill in detecting errors and verifying data * Use tact and good judgement * Ability to convey a positive image of the school district * Ability to establish and maintain effective working relationships with staff, vendors and outside agencies * Willingness to work flexible hours beyond the normal workday if needed * Must have the ability to meet deadlines and work independently * Ability to work effectively with others, individually and in groups * Ability to maintain confidentiality of information * Ability to effectively handle detailed paperwork * Ability to make decisions in accordance with district policies * Ability to communicate effectively verbally and in writing Terms of Employment * This position is 5 days/week, 6 hours/day: Year-Round 260-day position * Salary range is $32.50/hr.-$35.00/hr., Depending on education and experience * Benefits in accordance with the SEBB/Health Care Authority (Medical, Dental, Vision, LTD, Life insurance) * For qualifying positions, employees are offered enrollment with the Washington State Retirement Plan.
