The Opportunity

Distributed VA is a Silicon Valley-based managed agency bridging the gap between high-growth US companies and elite offshore talent. We are looking for a highly organized General Admin Virtual Assistant to join our Manila team to support high-growth USA clients. You won't just be an "assistant"—you will be the operational backbone for US-based founders, helping them streamline their back-office so they can focus on scaling.

Your Impact

You will manage the essential "plumbing" of a business. From executive scheduling to CRM management and basic financial admin, your role is to ensure nothing falls through the cracks. As part of a managed agency, you’ll have the support of a San Jose-based leadership team while working directly with dynamic US clients.

Core Objectives

Executive Support: Manage complex calendars, coordinate Zoom meetings across time zones, and handle email gatekeeping/filtering.

CRM & Data Management: Maintain data integrity in tools like HubSpot, Salesforce, or Airtable—ensuring leads and client info are always up to date.

Back-Office Admin: Assist with basic bookkeeping (invoicing/expense tracking), document preparation, and file organization in Google Workspace or Microsoft 365.

Research & Procurement: Conduct market research, find vendors, and manage specialized tasks like travel booking or gift procurement.

Internal Communications: Draft professional memos, manage Slack channels, and follow up on action items from team meetings.

What We Look For

Experience: 2+ years in a professional Admin or Executive Assistant role (BPO or Freelance experience with US/UK clients preferred).

Tech Literacy: Must be a "power user" of Google Workspace (Sheets/Docs) and project management tools like Asana, ClickUp, or Trello. ️

Precision Communication: Near-native written and verbal English. You should be able to draft emails that require zero editing. ️

Proactive Problem Solving: You don't just find problems; you propose solutions before the client even asks.

Infrastructure: A reliable fiber-optic connection, a modern laptop (i5/M1+), and a power backup (UPS/Power Station) for 100% reliability during US business hours.

Compensation & Culture

Fixed Base: $700 – $950 USD Monthly.

Healthcare Stipend: $50 USD Monthly Contribution toward HMO.
