Provide professional administrative and operational support to ensure efficient daily office functions, strong team coordination, and excellent stakeholder communication in a fully remote environment.
Key responsibilities
Calendar management: schedule and coordinate meetings, send invites, manage conflicts, and prepare agendas.
Email and communications: manage shared inboxes, draft and proofread professional emails, and route urgent items to appropriate staff.
Meeting support: set up virtual meetings (Zoom/Teams), prepare agendas, take concise minutes, track action items, and follow up on deliverables.
Document creation & management: create, format, and maintain documents, slide decks, spreadsheets, templates, and standard operating procedures.
Travel & event coordination: research and book travel, prepare itineraries, and coordinate virtual events or webinars.
Data entry & reporting: maintain databases and CRMs, prepare regular reports, and perform basic data analysis (filters, pivot tables).
Expense & invoice processing: collect receipts, prepare expense reports, and coordinate with accounting on invoices and reimbursements.
Project support: assist with small projects, task tracking, and cross-team coordination to ensure deadlines are met.
Vendor & client liaison: act as first point of contact for vendors and external partners; manage routine communications and follow-ups.
Continuous improvement: identify process inefficiencies and propose or implement improvements to remote workflows and documentation.
