Job Description
The Program Manager for Early Childhood Director plays a vital role in overseeing administrative and operational functions within the Early Childhood Education (ECE) program. This position provides leadership and support to a small team, ensuring efficient office operations, clear communication, and alignment with program goals. In close collaboration with the ECE Director, this role manages priorities, coordinates meetings, oversees communications, and supports fiscal accountability across contract sites.
This position is best suited for a highly organized, experienced administrative professional who thrives in a fast-paced environment supporting senior leadership. The ideal candidate brings a strong background in executive-level support, office operations, and team coordination, and is comfortable managing competing priorities with minimal direction.
Responsibilities
Supervise and support all ECE secretarial staff, providing leadership, guidance and performance oversight
Maintain daily communication with the ECE Director regarding program priorities and projects
Schedule and coordinate Partnership meetings; manage the Master ECE Partnership electronic calendar
Manage and prioritize the Director’s daily calendar, including meetings, home visits, and staff gatherings
Create and distribute the weekly Partnership News newsletter using the Smore platform
Oversee fiscal and contractual accountability by reviewing quarterly expense reports and collaborating with legal counsel
Lead special administrative projects by gathering information, analyzing findings, and preparing summaries
Approve timesheets, maintain staff credentials, and manage time-off requests using UKG Kronos
Handle email review and respond on behalf of the Director as appropriate
Arrange travel logistics for the Director
Conduct weekly meetings with Assistant Directors and office staff to monitor projects and support needs
Handle sensitive and confidential information with a high degree of discretion and professionalism
