POSITION DESCRIPTION
Position: executive ASSISTANT
PURPOSE AND SCOPE:

The Candidate must be able to provide administrative and support services to the Associate Principals, and technical professionals.
RESPONSIBILITIES:
Provide administrative support to the company’s executives
Manage and schedule appointments
Produce and edit type-written correspondence
Arrange travel and hotel accommodations
Monitor and renew individual and firm licenses along with organizational memberships and certifications (City, State, Federal, and diversity-certifying bodies)
Assist in updating and maintaining corporate documents
Provide administrative project support by assisting architects/engineers
Project specifications, submittal production, & assisting with project bid process
Construction administration and maintenance of shop drawing logs
Production of meeting minutes and field reports
Cover reception desk, greet clients and visitors
Manages office supply ordering and general office organization
Additional duties as required
POSITION REQUIREMENTS
EDUCATION:
Associates Degree or higher is preferred, prior experience will also be considered
PHYSICAL REQUIREMENTS:
Bending, carrying, lifting, pushing, pulling, reaching, sitting, standing, and walking
Would need to be able to hold 15 lbs.
These requirements would be utilized during the shipping of plans and documents and the distribution of office supplies tasks.
EXPERIENCE:
This is an entry level position and requires one year of office experience
Experience in the Architecture, Engineering, Construction, or Real Estate industries is a plus
KNOWLEDGE AND SKILLS:
Good planning and organizational skills; problem solving skills; decision making skills
Well-developed interpersonal and communication skills; ability to work independently and as part of team
Effective written communications skills
Ability to maintain a high level of accuracy in preparing and entering information
Strong computer proficiency, specifically with Word, Excel, Teams, and Outlook
Can be proactive and possess the ability to anticipate office needs
