Job Description
We’re looking for a proactive and highly organized Office & Business Support Administrator to support our growing team in Thailand and Laos.
You will work closely with the Regional Director and play a key role in building an efficient and well-structured local operation.
Responsibilities
Office & Administrative Operations
Ensure smooth day-to-day office operations
Handle procurement of office and team-related needs
Maintain and update internal policies, procedures, and documentation
Business Development Support
Provide administrative support to BDMs, including expense tracking and reporting
Arrange travel logistics (flights, accommodation, transportation)
Coordinate meetings, schedules, and internal communications
Maintain accurate documentation and reports
Support CRM updates and data management when required
Event & Marketing Coordination
Support the planning and execution of business trips, partner meetings, and events
Assist in organizing seminars, networking events, and expo participation
Coordinate with vendors for merchandise, marketing materials, and event setups
Liaise with venues and local agencies to ensure smooth execution
Assist in setting up and managing local marketing tools/platforms
Recruitment & HR Support
Coordinate interview scheduling and candidate communication
Support onboarding processes and logistics
Maintain HR documentation and internal records
Regional & Team Support
Provide administrative support to the Regional Director
Facilitate coordination across teams (Sales, Marketing, HQ)
Track tasks, timelines, and key priorities
Support onboarding and integration of new team members
Communication & Ad-hoc Support
Assist with translation and proofreading (English–Thai or other languages as needed)
Support preparation of presentations and business materials
Handle ad-hoc tasks and special projects as required
Requirements
2-4 years of experience in administrative, operations, or support roles, preferably in a dynamic business environment.
Proven experience in supporting sales teams or business development functions will be considered a strong advantage.
Excellent organizational skills with the ability to manage multiple tasks and priorities effectively.
Demonstrated ability to work independently, take initiative, and maintain a high level of accountability.
Strong communication skills in both English and Thai, with the ability to interact professionally across teams.
Adaptable and comfortable working in a fast-paced, high-growth environment.
Adaptable, culturally aware (especially within Southeast Asia), and able to maintain discretion and confidentiality while contributing positively in a team-oriented, fast-paced environment
Nice to have
Proven experience in vendor management, sourcing, and negotiation, particularly for marketing materials, events, and external partnerships.
Ability to coordinate events and logistics, manage basic budgeting and cost tracking, and handle contracts or documentation with accuracy and attention to detail.
