TITLE: Resource Development Events and Data Coordinator

REPORTS TO: Development Director

CLASSIFIED: Full Time, Non-Exempt

LOCATION: Brookings

JOB SUMMARY: The Resource Development Events & Data Coordinator provides critical administrative and operational support to the Resource Development team at the Boys & Girls Club of the Northern Plains. This role supports donor data management, recordkeeping, communications, fundraising operations, and the coordination of events across multiple Club sites. This position plays a key role in maintaining accurate donor records, supporting stewardship efforts, and leading the planning and execution of signature events that advance the organization’s mission. It is ideal for a detail-oriented and organized professional who enjoys collaboration, event planning, and supporting relationship-based fundraising.

KEY RESPONSIBILITIES:

Donor Records & Data Management

Maintain accurate donor and pledge records within the CRM system (My ClubHub), including data entry, updates, reporting, and data cleanup

Track donations, pledges, campaign activity, and stewardship actions

Support recordkeeping for donor stewardship plans and the resource development calendar

Ensure donor data integrity and adherence to internal data standards Donor Communications & Acknowledgements

Prepare and process donor thank-you letters, pledge confirmations, and acknowledgment communications

Assist with donor solicitation letters and pledge requests

Coordinate donor and development-related mailings

Support donor recognition efforts, including spotlights and stewardship communications Fundraising, Raffles & Special Events

Serve as the lead coordinator for Club special events, including the annual raffle, gala, Youth of the Year event, and other fundraising or community events

Plan, organize, and execute all aspects of events, including timelines, logistics, vendor coordination, and on-site support

Provide administrative and logistical support for fundraising campaigns and initiatives

Assist with preparation, tracking, and follow-up for fundraising activities

Support stewardship plans for individual donors and corporate partners Marketing & Communications Support

Collaborate with the marketing team to provide accurate donor data and content for newsletters and reports

Assist in the development of quarterly newsletters, donor spotlights, and development updates

Help manage timelines and materials aligned with the resource development calendar

Support promotion and communication efforts related to special events General Administrative Support

Provide scheduling, coordination, and project support to the Regional Director(s) of Development, Administrative Team, and CEO

Assist with internal reporting, documentation, and data requests related to fundraising and development

Perform additional administrative and development-related duties as assigned

EMPLOYMENT QUALIFICATIONS:

Qualifications

High school diploma required; associate degree or relevant coursework in business, communications, nonprofit management, or related field preferred

Strong organizational skills with exceptional attention to detail

Experience working with databases, spreadsheets, and donor management systems preferred

Proficiency in Microsoft Office (Word, Excel, Outlook)

Strong written and verbal communication skills

Ability to handle confidential information with professionalism and discretion

Ability to manage multiple priorities and meet deadlines Preferred Skills & Attributes

Experience in nonprofit administration, fundraising support, or event coordination

Interest in resource development, donor relations, and community engagement

Strong collaboration skills and ability to work cross-functionally

Dependable, self-motivated, and highly detail-oriented

Ability to manage multiple events and deadlines simultaneously

PHYSICAL REQUIREMENTS:

Must be of the mental and physical capacity to observe, interact, and communicate with youth, staff, volunteers, parents, etc., at the Club to ensure the safety of the space and others, provide guidance and reflection per the Club priority outcomes and goals

Ability to stand/sit for long periods throughout a shift

Ability to operate various types of general office equipment including PC, telephone, copier, etc.
