Job Overview

We are a bookkeeping & tax service firm seeking a professional and organized Front Desk Receptionist to join our team. This role is essential in creating a welcoming environment for clients and visitors while efficiently managing administrative tasks.

The ideal candidate will possess the ability to handle high call volume daily, excellent communication skills, strong organizational abilities, and proficiency in office management tools.

This position offers an opportunity to contribute to a dynamic office setting, supporting daily operations and ensuring smooth workflow.

Duties

Handle high call volume environment efficiently

Greet clients and visitors warmly, providing exceptional customer service

Manage multi-line phone systems, directing calls accurately and professionally

Schedule appointments and manage calendars using Microsoft Office and other tools

Perform data entry, filing, and maintain organized records

Handle incoming and outgoing correspondence, including emails and mail distribution

Assist with billing, invoicing, and bookkeeping using QuickBooks or similar software

Support office management tasks such as ordering supplies and maintaining office equipment

Proofread documents for accuracy and professionalism

Provide administrative support to staff members, including typing reports and managing schedules

Maintain a clean and professional reception area at all times

Skills

High call volume efficiency

Excellent client service

Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and other applications

Strong computer literacy with experience in data entry, filing, and document proofreading

Excellent organizational skills with the ability to multitask effectively

Exceptional phone etiquette and customer support skills across multi-line phone systems

Bilingual abilities are preferred to assist diverse client needs

Previous office management or clerical experience is highly desirable

Knowledge of medical or dental receptionist procedures is a plus

Experience with QuickBooks or bookkeeping software is advantageous

Strong time management skills to prioritize tasks efficiently

Ability to handle confidential information discreetly and professionally
