Position Summary

Under general supervision, the Purchasing and Inventory Agent supports the District by coordinating the procurement, receipt, and inventory of materials and services. This position supports purchase order creation, maintains accurate inventory records, and serves as a liaison between staff, administrators, and vendors.

Essential Duties and Responsibilities

(Other duties may be assigned)

Purchasing and Inventory Support

Coordinates the purchasing of materials, supplies, and services in accordance with District policies and procurement procedures.

Maintains accurate inventory records; monitors stock levels and assists with inventory control.

Receives, verifies, and documents incoming deliveries; ensures materials are properly recorded and distributed.

Communicates with vendors and suppliers regarding orders, pricing, delivery schedules, and discrepancies.

Maintains, verifies, and updates data within an Inventory Management System.

Administrative and Records Management

Maintains vendor files in conjunction with Accounting Specialist, purchasing records, and related documentation.

Processes documents and information requiring independent judgment, including compiling, reorganizing, and tabulating data using computer applications.

Prepares reports, summaries, and documents for presentations to the Board of Trustees, meetings, and public distribution.

Files reports, posts information to records, answers telephones, and performs general office support functions.

Communication and Customer Service

Responds to inquiries requiring knowledge of District maintenance policies and procedures.

Provides effective customer service to internal staff, vendors, service providers, and the general public.

Coordinates with accounting, maintenance, engineering, and administrative staff to ensure timely and accurate information flow.

Qualifications

Education and Experience

Required:

High school diploma or equivalent

Minimum of three (3) years of experience in manufacturing or utility based environment in purchasing, inventory control, data processing, or related administrative work, or an equivalent combination of education and experience

Preferred:

Associate degree in accounting, finance, business administration, logistics, or a closely related field

Five (5) or more years of relevant experience

Experience using CMMS or ERP systems

Knowledge, Skills, and Abilities

Language and Communication

Ability to read and interpret safety rules, operating and maintenance instructions, financial documents, and procedure manuals.

Ability to prepare bid documents, requests for proposals (RFPs), reports, and professional correspondence.

Ability to effectively present information and respond to questions from the public, supervisors, coworkers, auditors, vendors, and service providers.

Mathematical and Analytical Skills

Ability to perform basic arithmetic using whole numbers, fractions, and decimals.

Ability to compute ratios, percentages, and prepare basic graphs.

Reasoning and Problem Solving

Ability to solve practical problems and manage multiple variables with limited standardization.

Ability to interpret written, oral, diagram, and schedule-based instructions.

Ability to work independently, prioritize tasks, and meet deadlines.

Technical and Office Skills

Familiarity with procurement principles and inventory practices.

Proficiency with Microsoft Office 365 and other standard office software.

Working knowledge of ERP or CMMS systems preferred.

Strong attention to detail and accuracy in data entry and recordkeeping.

Certificates, Licenses, and Registrations

Valid Illinois driver's license required.

Ability to drive a motor vehicle; may be required to operate a forklift for receiving deliveries.
