Sandvik Mining Botswana is seeking a proactive and detail oriented Workshop Planner to manage and coordinate all workshop rebuild and component activities. Based in Gaborone and reporting to the Workshop Supervisor, this role is critical to ensuring efficient planning, scheduling, and execution of rebuild projects for surface and underground mining equipment. The Workshop Planner will work closely with workshop supervisors, foremen, technicians, EQ administrators, stores, logistics, and external suppliers to maintain an efficient workflow from job initiation through to completion. Strong organisational ability, structured planning, problem solving skills, and effective communication are essential for success in this role.

Key Performance Areas

Production Planning & Scheduling

Develop, maintain, and control detailed rebuild project schedules for surface and underground mining machines.

Allocate labour, parts, materials, and workshop bays to meet delivery commitments.

Monitor workshop capacity and workload, adjusting plans to optimise productivity.

Ensure all rebuild phases (disassembly, inspection, repair, reassembly, and testing) are accurately scheduled and tracked.

Schedule planned activities into job cards in line with the Master Project Plan.

Work Order Management

Create, issue, and track Work Breakdown Structures (WBS) for all rebuild projects.

Coordinate execution of work orders on EQ / System 21 in collaboration with the Workshop Foreman and EQ Administrators.

Maintain full visibility of all open work orders, identifying risks, delays, and bottlenecks.

Workshop Coordination

Coordinate daily with Workshop Foremen and EQ Administrators to align schedules, monitor parts availability, and maintain an accurate workshop plan.

Prepare detailed machine rebuild plans, including timelines, labour requirements, and budget considerations.

Review daily workshop progress and adjust schedules to maintain milestone adherence.

Optimise resource allocation across all workshop bays to minimise downtime.

Supplier & Vendor Coordination

Liaise with suppliers and external service providers to ensure timely delivery of components and services.

Track components sent to vendors for repair and ensure agreed turnaround times are met.

Expedite orders where required to prevent delays to rebuild schedules.

Inventory, Logistics & Backorder Management

Work closely with Stores and Inventory teams to ensure stock availability for rebuild projects.

Identify critical part requirements in advance and proactively manage shortages.

Perform daily review and resolution of outstanding orders, including changes to sourcing, Purchase Orders, or DRP requirements

Review “Hold till Complete” orders weekly and release where inventory becomes available.

Review Unit Down Orders daily and expedite accordingly.

Resolve Sales Orders that did not generate Purchase Orders in System 21.

Support Logistics Process and Support (LPS) ticket resolution related to expediting and shipment discrepancies.

Data Management & Reporting

Maintain accurate project documentation including schedules, cost estimates, parts tracking, and progress reporting.

Generate daily, weekly, and monthly progress reports with KPIs, MS Project plans, milestone tracking, and graphical dashboards.

Conduct arrivals, progress, and customer reports.

Upload data to department cloud repositories.

Plan and control fluid analysis schedules and ensure correct data book reporting.

Maintain Customer Masters through quarterly reviews.

Continuous Improvement & WCM

Implement and sustain World Class Manufacturing (WCM) process steps within the planning function.

Proactively identify risks and resolve root causes, not only symptoms.

Evaluate information carefully and adapt plans based on changing conditions.

Develop alternative strategies to mitigate risk and manage change.

Your Profile

BGCSE or equivalent qualification.

Diploma/Degree in Mechanical/Electrical/ Industrial Engineering or Business Administration

Minimum of Three (3) years experience in a Workshop Planning, Maintenance Planning, or Engineering role.

Experience scheduling activities using MS Project (advantageous).

Solid understanding of workshop operations and engineering processes.

Strong administrative discipline and ability to interpret management information.

Proven problem solving and planning capability with attention to detail.

Ability to produce clear progress reports using graphs, schedules, and milestone plans.

Strong communication skills and ability to work collaboratively in a team environment.
