Summary:
The HIT department is seeking a Helpdesk IT (ITHD) Project Manager to be responsible for the analysis, review, and documentation of assigned ITHD infrastructure, network, and application solution project(s) throughout its lifecycle. This position will assist in the planning, execution, and documentation of all HIT projects, working collaboratively with the ITHD Supervisor, HIT VP, Manager, and other members of our MPM organization.
Essential Duties and Responsibilities
Responsible for preparing comprehensive project plans, including resources, timeframes and project budgets
Engages directly with vendors as liaison in defining requirements and scope objectives as well as with facilitating issue resolution
Assist the HIT department with project procurement, project progress inquiries, issue resolution, risk and opportunities
Responsible to complete proper project close-out, ensuring end-user satisfaction and appropriate documentation and storage of project artifacts
Coordinate and lead project related activities among various departments and act as a point of contact, where applicable for all ITHD assigned projects
Perform various coordinating tasks, like scheduling meetings, documenting issues and risks, entering updates into Smartsheet, performing staffing analyses, and maintaining project documentation
Prepare and distribute project status reports and other project communications
Coordinate meetings within HIT and other departments, and in collaboration with our vendors
Create and format documents electronically including letters, memos, status reports, presentations (PowerPoint), spreadsheets (Excel) and other related documents
Assist the HIT VP and Manager in reviewing and analyzing software, hardware, and vendor contracts using software designed to ensure accurate tracking and recordkeeping for the fulfillment of contractual obligations
Participate in or manage the vendor selection and solutioning processes, including gathering requirements, researching the solution marketplace and performing a vendor competitor analysis
Prepare solutions comparison and make recommendation of new capabilities to support the operations and new initiatives in the department and across MedPOINT Management
Develop reports and dashboards within Smartsheet with project and resources statuses for executive leadership
Position Requirements
Ability to work under pressure and to maintain efficiency and composure while managing a large work queue
Solid organizational skills, including multitasking and time-management
Demonstrated commitment to participatory management and a strong service orientation
Strong interpersonal and communication skills and ability to establish and maintain cooperative and harmonious working relationships
Able to independently comprehend and learn new software (internal/external)
Must be able to identify workflow and/or data capturing/integrity opportunities
Able to work independently and in team settings
Hands-on experience with flowcharts, technical documentation and project resource scheduling
Knowledge of project management software (e.g. Smartsheet or Microsoft Project)
Qualifications
Bachelor’s degree in science or health care related field preferred or combination of related education and work experience
Intermediate proficiency with working with Microsoft Office programs (Outlook, Word, PowerPoint, and Excel), Visio, and Adobe
EZ-CAP and health care experience is a plus, but not required
2+ years of related experience as a Project Coordinator or Project Management
