Job Summary
The Project Manager, Marketing & Communications supports the planning, execution, and delivery of marketing and communications projects across design, copy, and video teams. This role serves as the primary project management partner for assigned service line and enterprise accounts, ensuring work is clearly scoped, efficiently routed, and delivered on time and within established processes.
This position provides day-to-day project support for Internal Medicine, The College of Medicine, Advancement, and National Reputation initiatives, with a strong focus on email campaigns, YouTube conversions, proofreading requests, corporate production requests, Uniprint online store, and minor revisions. The Project Manager plays a critical role in coordinating cross-functional teammates, maintaining project momentum, and providing clear communication and follow-through across a high volume of requests.
Key Responsibilities
Project Intake, Planning & Execution
o Manage the intake, setup, execution, and closure of marketing and communications projects across design, copy, and video workstreams.
o Open and maintain projects in the project management system using standardized templates and shared folder structures.
o Coordinate timelines, task sequencing, and handoffs across cross-functional teams to ensure timely delivery.
o Monitor project progress, follow up on outstanding tasks, and update project status as needed.
o Escalate risks, delays, or scope questions to senior project management or director, marketing operations as appropriate.
Service Line & Account Support
o Serve as the primary project management contact for assigned accounts, including:
o Internal Medicine
o The College of Medicine
o Advancement
o National Reputation
o Uniprint online store
o Support recurring and quick-turn request types such as:
o National Reputation email campaigns
o YouTube conversions
o Proofreading requests
o Corporate production requests
o Primary care
o Minor revisions and updates
o Maintain visibility into active and upcoming work for assigned portfolios with marketing and communications partners.
Cross-Functional Coordination & Communication
o Schedule and support project meetings (kickoffs, pre-production, status check-ins) including agenda creation, documentation, and follow-up.
o Participate in design, copy, and video huddles as needed to ensure new work is assigned and open questions are resolved.
o Act as a central point of communication to ensure clarity across teams and reduce handoff friction (meeting notes, follow up, etc.)
Quality, Process & Closeout
o Ensure projects are reviewed for completeness and accuracy prior to routing for approval or production.
o Confirm final deliverables are archived appropriately and projects are closed out in the project management system.
o Support continuous improvement by following established workflows and identifying opportunities to improve efficiency and clarity.
Qualifications Required
o Bachelor's degree or equivalent combination of education and experience.
o 3+ years of experience in project coordination or project management within a marketing, communications, creative, or agency environment.
o Experience managing projects across design, copy, and video teams.
o Strong organizational skills with the ability to manage multiple projects and deadlines simultaneously.
Preferred
o Experience supporting marketing projects in a complex, matrixed organization.
o Familiarity with design production workflows, email production workflows, video conversion processes, and editorial review cycles.
o Experience working within a formal project management system and shared document repositories.
