Taft is looking for a dedicated Information Governance/Records Matter Mobility Analyst with 2+ years of experience to enhance our Information Governance team. This role offers the opportunity to work in a dynamic environment and is a hybrid position that can be based in any of our office locations, including Albuquerque, Atlanta, Chicago, Cincinnati, Cleveland, Colorado Springs, Columbus, Dayton, Denver, Detroit, Indianapolis, Minneapolis, Naples, Phoenix, Reno, Washington, D.C., or West Palm Beach.
Duties and Responsibilities:
Implement and uphold firm policies and procedures related to the matter mobility process.
Maintain an in-depth knowledge of the technology systems utilized by the Information Governance team.
Act as the primary point of contact for incoming lateral attorneys.
Effectively communicate with incoming attorneys, clients, and other departments regarding the matter mobility process.
Serve as an internal resource for inquiries related to matter mobility.
Coordinate the comprehensive process for all inbound and outbound information, which involves:
Analyzing both electronic data and physical content relevant to matter mobility.
Documenting all actions taken on data within the provided tracking tool and the firm's Document Management System (DMS).
Collaborating with various internal teams, including legal case teams and other Taft departments, to ensure successful execution of mobility tasks.
Conduct an initial internal review of records prior to their transfer out of the firm.
Provide training for Information Management Specialists and legal case teams on best practices for managing information related to matter mobility.
Troubleshoot issues associated with technologies that manage client and firm information and recommend solutions.
Perform database searches and audits as required.
Assist with information cleanup projects.
Handle special projects and additional tasks as assigned by management.
Requirements:
Associate's degree or an equivalent combination of education and experience.
2+ years of relevant experience in information governance or records administration (e.g., medical records, legal records).
Experience in a law firm setting is preferred, but not mandatory.
Capability to manage and maintain confidential information securely.
Proficient in Microsoft Excel, Outlook, Teams, and Smartsheet.
Familiarity with iManage and iCompli is advantageous, but not required.
Ability to access, input, analyze, and retrieve information from diverse sources.
Excellent written and verbal communication skills.
Strong organizational, customer service, and critical thinking abilities.
Adept at managing multiple priorities simultaneously and professionally.
Ability to work both independently and collaboratively as part of a dispersed team.
Capability to thrive in a fast-paced environment and meet tight deadlines.
Physical ability to lift up to 30 pounds.
