Administrative Assistant The Administrative Assistant will adhere to strict confidentiality standards during the performance of all duties and responsibilities. This position will provide high level administrative support to the President & Chief Medical Officer and the Leadership Team to help ensure the effective and efficient administrative operations of the practice. This is a part-time, three days a week position.

Essential duties and responsibilities of this job include the following. These are the duties that define this job and are required to be performed by the incumbent. Other essential duties may be assigned.

Communicate in an effective, appropriate and courteous manner, while maintaining confidentiality during all interactions with physicians, patients, staff and external business associates when carrying out tasks/responsibilities.

Perform standard administrative duties for the President and Chief Medical Officer, as well as the entire Leadership Team, including but not limited to, organizing best practice standards, drafting correspondence, scheduling meetings, taking minutes, responding to inquiries on behalf of the President and Chief Medical Officer or any of the Leadership Team members.

Manage complicated and detailed calendars.

Coordinate and prepare materials for meetings, including agendas and any supporting presentation materials.

Create ad-hoc reports, generate letters, and process documents.

Lead and participate in special projects as needed.

Act as a gatekeeper and ensure timely, complete follow up to practice initiatives and activities.

Perform standard office duties, such as filing, handling incoming and outgoing electronic communications, answering telephones, creating and preparing financial reports, scanning documents, handling information requests, receiving visitors, arranging conference calls, etc.

Assist with OhioHealth marketing and communication projects as necessary.

Other duties that are or may be assigned to this job.

Handle confidential or sensitive information and issues with discretion.

Work independently with little supervision.

High level of follow through on tasks to completion.

Shift gears and reprioritize in response to changing demands.

Anticipate the needs of the President and Chief Medical Officer and the Leadership Team, being proactive in addressing them.

Perform all duties in a time- and cost-effective manner.

Perform other duties as assigned.

In order to qualify for this job, the incumbent must possess the following qualifications or be able to secure them within 90 days.

Associate degree in related medical/administrative or business sciences; Bachelors Degree preferred. Comparable relevant experience can be substituted for degree.

A minimum of 5 years of experience in an administrative assistant capacity with at least one year working within a health care organization.
