JOB SUMMARY
We are seeking a detail-oriented and highly organized Order Entry Coordinator to support our account operations, order processing, and logistics functions. This role is responsible for setting up and maintaining customer accounts, processing Electronic Data Interchange (EDI) orders, coordinating shipping and fulfillment, and supporting promotional pricing activities. The ideal candidate enjoys working with systems and data, thrives in a fast-paced environment, and takes pride in accuracy and organization. No prior EDI experience is required — we are willing to train the right candidate who demonstrates strong computer skills, attention to detail, and a proactive mindset.
DUTIES & RESPONSIBILITIES:
Create and set up new wholesale, retail, professional, international and Canadian customer accounts
Maintain monthly reports of newly created accounts and distribute to designated teams
Update existing account information, including name, address, email, sales representative, payment terms, payment methods, and pricing codes
Close and reopen customer accounts as needed and communicate updates to the Marketing team
Process and manage Electronic Data Interchange (EDI) orders
Review and enter customer orders accurately into internal systems
Coordinate order fulfillment and shipping to ensure timely delivery
Prepare and maintain order documentation and routing information
Process inventory adjustments submitted by Marketing and Order Entry teams
Assist with product discontinuations and maintain communication across departments
Track new item discounts and maintain promotional calendars
Review short-dated inventory monthly and apply or remove product tags based on inventory movement
Review and process Promotional Pricing Requests (PPRs)
Maintain promotional calendars and enter pricing updates into the system
Set up and manage customer-specific promotions, discounts, and special pricing
Enter recurring monthly promotions, including advertising specials, free goods, conventions, and sales initiatives
Review and route literature and internal documentation packets
Maintain organized records and ensure accurate data across systemsRequirements:
Proficient computer skills, including Microsoft Office Excel
Strong attention to detail and accuracy
Highly organized with the ability to manage multiple tasks
Proactive, dependable, and solution-oriented with a strong work ethic
Willingness to learn internal systems and processes
