The Sales Coordinator is the operational backbone of our sales and preconstruction process.
This is not a sales role and not a generic admin role.
You will be the facilitator who ensures every opportunity is complete, clean, accurate, and ready before it reaches estimating or construction. If information is missing, unclear, or incorrect, the project does not move forward.

Key Responsibilities (Read Carefully):
Lead Intake & Opportunity Setup
Review all incoming sales opportunities for completeness and clarity before they move forward
Coordinate with Territory Sales Managers to gather missing scope, plans, and requirements
Maintain accurate opportunity records in Salesforce
Prevent incomplete or unclear jobs from entering estimation
Preconstruction & Bid Coordination
Create and maintain Bid Projects in Procore
Upload, organize, and manage plans, specs, and documents
Ensure all files are accurate, labeled correctly, and consistent across systems
Track bid progress, deadlines, and outstanding items
Estimator & Vendor Support
Prepare complete bid packages so estimators can work efficiently without rework
Distribute plans and scopes to vendors and subcontractors
Track vendor responses and follow up until coverage is complete
Maintain clean bid logs and pricing documentation
Process Enforcement & Data Integrity
Enforce defined workflows across Sales and Preconstruction
Maintain alignment between Salesforce, Procore, and internal tracking tools
Identify breakdowns in the process and suggest improvements
Protect data accuracy — this role is detail-critical
Project Handoffs
Ensure all required documentation is complete and correct before transition to Operations
Support preconstruction meetings and project handoffs
Help eliminate downstream surprises for PMs and field teams
Experience
Experience in construction, preconstruction, estimating support, or project coordination preferred
Familiarity with construction plans, scopes, and bid processes is a requirement
Salesforce, Procore, or similar systems experience preferred (we can train the right person)
REQUIREMENTS:
Experience
3+ years in a Sales Coordinator, Sales Admin, or Operations Support role
Prior experience in construction, building, trades, or B2B services required
Prior experience in commercial residential construction is a plus
Experience working alongside Sales Managers, Estimators, or Project Teams
Technical Skills
CRM experience (Salesforce preferred)
Proficient in Microsoft Excel, Word, Outlook
Comfortable managing data accuracy, reports, and documentation
Ability to track multiple opportunities, deadlines, and follow ups simultaneously
