Role and Responsibilities:
Under general supervision, Client Service Associates will provide key administrative support solely to the Financial Services department of CNC (CNCFG). This role involves significant client-facing interactions, effective management of administrative tasks, and ensuring efficient operations within the office. The CSA will complete all administrative tasks, projects, and responsibilities (listed below) in a consistent and unwaveringly professional manner, meeting firm-wide expectations for each individual item, such as desired formatting, end-result product outcomes, "by-whens", time budget for completion, and any other pertinent requirements. The omission of specific duties does not exclude them if the work is similar, related, or a logical assignment to the position.
General office duties such as managing phones, managing emails, and handling correspondence
Schedule and coordinate meetings and appointments
Preparation of client and CNCFG deliverables such as proposals, presentations, reports, and spreadsheets
Attend all department meetings
Key communication with external sources (clients, attorneys, banks, etc.)
Identify opportunities to improve processes and create efficiencies
Prioritize workflow and deadlines, while practicing good time and project management skills
Generate letters, memos, and emails as requested
Proofread and ensure accuracy of all products
Interact professionally with internal and external clients and prospects; handle inquiries effectively and in an organized and courteous manner
Resolve customer service issues
Review time-sensitive and/or complex documents
Set up new accounts and process account information changes
Process distributions and transaction requests, reconcile transactions
Maintain notes in Redtail CRM for activities performed
Monitor and update tasks in CRM software
Compliance with company policies, procedures, and regulatory requirements
Handle sensitive and confidential information with discretion and integrity
Support special projects and initiatives within the Financial Services and Tax departments
Maintain multiple complex broker dealer and vendor platforms, portals, and systems
Any variety of operational tasks for complex securities- or cash-related transactions or processes that require extensive knowledge of departmental functions and systems
Adhere to staff-specific office hours (staggered arrival, break, lunch, and departure times, and any deviation of schedules due to vacation, illness, or emergency), that guarantee administrative coverage of CNCFG
Preferred Skills:
High level skills in Microsoft Office Suite, specifically Excel

Ability to prioritize tasks and manage time effectively
Qualifications and Education Requirements:
Associate's degree or higher in Business Administration, Accounting, or related field preferred
Minimum 2 years administrative experience, preferably in an accounting or financial services setting
Familiarity with CRM software
Pursuing, or plans to pursue, minimum of FINRA Series 7 and Series 66 licensing
Supervisor Responsibilities:
This position does not have any supervisory responsibilities.
Working Conditions:
Typical office environment with standard office hours.
Occasional overtime may be required during peak periods (e.g., fiscal year-end, tax season).
Pay Range: $20 - $25 / hr
