Job Summary

We are seeking a motivated and detail-oriented Entry-Level Onboarding Specialist to support new client onboarding. This role is ideal for someone beginning their career in payroll who enjoys helping others, learning new systems, and working in a fast-paced, people-focused environment.

The Onboarding Specialist will assist new clients throughout the onboarding process, ensure accurate documentation, and provide exceptional support in both English and Spanish (or other applicable language). Training will be provided.

Key Responsibilities

Assist with new hire onboarding through PRISM HR, ensuring all forms and employment documents are completed accurately

Provide bilingual support (English/Spanish) to new clients during onboarding and benefits enrollment

Guide new clients through required paperwork, direct deposit setup, tax forms, and policy acknowledgments

Review onboarding documents for completeness and accuracy

Track onboarding progress and follow up on missing information

Maintain organized and confidential employee records

Communicate professionally with clients.

Support offboarding processes as needed (terminations, status changes, final pay coordination)

Learn and follow HR compliance and data privacy practices

Qualifications

High school diploma or GED required

Bilingual in English and Spanish (required)

0–2 years of experience in HR, payroll, onboarding, or administrative support

Interest in starting a career in HR or payroll

Basic computer skills and comfort learning new systems (training provided)

Strong attention to detail and willingness to learn

Reliable, organized, and professional communication skills

Preferred (Not Required)

Experience with HR systems, payroll software, or data entry

Customer service or office experience

Familiarity with a PEO environment

Ability to manage multiple tasks with deadlines

Comfortable asking questions and learning new processes

High level of discretion when handling sensitive information
