Taft is seeking an Information Governance/Records Matter Mobility Analyst with 2+ years of experience to support our Information Governance team in any of our current office locations.
(Albuquerque, Atlanta, Chicago, Cincinnati, Cleveland, Colorado Springs, Columbus, Dayton, Denver, Detroit, Indianapolis, Minneapolis, Naples, Phoenix, Reno, Washington, D.C. or West Palm Beach). This role is a hybrid position.
Duties and Responsibilities:
Implement firm policy and procedure regarding the firm's matter mobility process
Maintain a thorough working knowledge of the technology systems used by IG and their functionality
Serve as an initial point of contact for lateral attorney arrivals
Communicate with incoming attorneys, clients, and other firm's IG departments regarding the matter mobility process
Serve as an internal resource to answer any questions regarding the matter mobility process
Coordinate the full process for all inbound and outbound information. Including, but not limited to
Analyzing incoming and outgoing information (electronic data and physical content) related to matter mobility
Memorialization of all actions taken on data in the provided tracking tool and firm's DMS
Collaboration with multiple internal teams (including legal case teams and other Taft departments) to successfully execute all mobility tasks
Perform initial internal review of records prior to their transfer out of the firm
Serve as trainer for IM Specialists and legal case teams on best practices for managing information associated with matter mobility.
Troubleshoot issues related to technologies used to manage client and firm information and report on solutions.
Perform database searches and audits as needed.
Assist with information clean-up projects.
Special projects and additional duties as assigned and directed by management.
Requirements:
Associate's degree or equivalent combination of education and experience.
2+ years' related experience working in information governance/records administration (i.e. medical records, legal records, etc.).
Law firm experience, preferred but not required
Ability to handle and maintain confidential information in a secure manner
Strong knowledge of Microsoft Excel, Outlook, Teams, and Smartsheet
Experience in iManage and iCompli, preferred but not required
Ability to access, input, analyze, and retrieve information from various sources
Strong written and verbal communication skills
Strong organizational, customer service, and critical thinking skills
Ability to support multiple priorities simultaneously, accurately, and professionally
Ability to work independently and as part of a dispersed team
Ability to work in a fast-paced environment, under tight deadlines
Ability to lift 30 pounds
