Yukon Montessori School is seeking a highly organized and reliable Executive Assistant to support the Executive Director in a dynamic, community-focused school environment.

About the Role:
The Executive Assistant provides high-level administrative and organizational support to the Executive Director. This position plays a central role in ensuring smooth operations by managing governance documentation, coordinating administrative processes, supporting reporting requirements, and maintaining effective communication with families and the broader community.
This role is ideal for someone who is detail-oriented, adaptable, and comfortable managing multiple priorities in a fast-paced environment.
Key Responsibilities:
Executive Support
• Coordinate scheduling, priorities, and workflow for the Executive Director
• Prepare materials and support meeting readiness
Governance & Board Support
• Prepare agendas, minutes, and meeting packages
• Maintain governance records and track action items
Administrative Operations
• Support student enrollment, registration, and waitlists
• Maintain accurate and confidential records
• Manage administrative systems and documentation
Financial Administration Support
• Liaise with bookkeeping functions (payroll, invoicing, reimbursements)
• Track financial documentation and submission timelines
Reporting & Compliance
• Assist with monthly and annual reporting requirements
• Support grant and funding compliance documentation
Communication
• Provide professional communication with families and community members
• Respond to general inquiries and support administrative needs
Fundraising Support
• Assist with grant applications and reporting
• Support fundraising initiatives and donor communications
Qualifications:
• 3–5+ years of administrative or executive support experience
• Strong organizational and time management skills
• Excellent written communication and document preparation abilities
• Ability to work independently and manage multiple priorities
Assets:
• Experience in a non-profit or educational environment
• Familiarity with student records or enrollment systems
• Basic knowledge of bookkeeping or financial administration
• Experience with reporting, grants, or fundraising
Work Requirements:
• High level of discretion and professionalism required
• Ability to work independently in a small, evolving organization
• Criminal Record Check (Vulnerable Sector) required.
