We’re growing quickly and are looking for an Operations Administrator to help streamline internal processes, support the leadership team, and keep daily operations running efficiently. This role will be a shared resource across departments, supporting finance, client services, and team operations.

Full Time

We’re looking for an experienced administrator to join our team and play a key role in supporting day-to-day operations.

Key Responsibilities

Financial Administration

Prepare and manage client invoicing, ensuring accuracy and timely delivery across all active accounts

Track receivables and follow up on outstanding balances to support healthy cash flow

Support accounts payable by processing vendor invoices and coordinating timely payments

Assist with monthly reconciliations and provide documentation support for financial reporting

Client and Business Operations

Draft, organize, and maintain client service agreements, ensuring all contracts are current and properly filed

Track contract renewals and flag upcoming deadlines to the relevant team members

Coordinate client gifting programs, including sourcing, packaging, and logistics for campaign-related sends

Support onboarding of new clients by preparing welcome materials and coordinating internal handoffs

Serve as an operational point of contact for client-facing administrative needs

Team and Executive Support

Manage complex calendars, travel arrangements, and meeting scheduling for members of the leadership team

Prepare agendas, take meeting notes, and follow up on action items to keep leadership priorities on track

Coordinate team engagement initiatives, including offsites, internal events, and recognition programs

Identify opportunities to improve internal workflows and help implement process improvements across departments

Support onboarding of new team members by coordinating logistics, access, and orientation materials

Qualifications

3+ years of administrative or operations experience, preferably in a marketing, agency, or SaaS environment.

Strong organizational and communication skills with a proactive, detail-oriented approach.

Experience using CRM systems and financial tools (e.g., QuickBooks, Xero, or similar).

Understanding of B2B client management workflows.

Proficiency in Google Workspace, Microsoft Office, and project management tools (e.g. ClickUp).

Familiarity with AI productivity tools is considered an asset.
