Location: Remote

Position Overview

We are seeking a highly organized, proactive, and detail-oriented Executive Assistant & Project Coordinator to support senior leadership while managing and coordinating key projects across the organization. This dual-role position requires excellent time management, communication skills, and the ability to handle multiple priorities in a fast-paced remote environment.

Key Responsibilities

Executive Assistant Duties

* Provide high-level administrative support to executives, including calendar management, scheduling meetings, and coordinating travel arrangements

* Prepare and edit correspondence, reports, presentations, and other documents

* Act as a point of contact between executives and internal/external stakeholders

* Manage confidential information with discretion and professionalism

* Organize and maintain digital files, records, and documentation

* Assist in meeting preparation, including agendas, minutes, and follow-ups

Project Coordination Duties

* Plan, coordinate, and track project timelines, deliverables, and milestones

* Collaborate with cross-functional teams to ensure project goals are met

* Monitor project progress and provide regular updates to stakeholders

* Identify risks or bottlenecks and propose solutions proactively

* Maintain project documentation, dashboards, and reporting tools

* Support process improvements and workflow optimization initiatives

Qualifications

* Proven experience as an Executive Assistant, Project Coordinator, or similar role

* Strong organizational and multitasking abilities

* Excellent written and verbal communication skills

* Proficiency in productivity and project management tools (e.g., Google Workspace, Microsoft Office, Asana, Trello, or similar)

* Ability to work independently and manage time effectively in a remote setting

* High level of attention to detail and problem-solving skills

* Experience supporting senior executives or leadership teams preferred
