About the role
Support the Process Equipment Sales team (pumps and related spares) by coordinating tenders, commercial documentation, internal workflows, and sales promotion activities. The role ensures accuracy, timeliness, and high-quality document control across multiple parallel customer requests, while maintaining the professional image of the company through marketing materials and events.
Key Responsibilities
Process and track customer orders, ensuring timely and accurate delivery. Maintain and update sales databases, reports, and documentation.
Coordinate with logistics, finance, and sales teams to resolve order issues. Support the organization of sales events, seminars, and promotional activities. Monitor inventory of sales materials and ensure availability.
Conduct competitor research and maintain a repository of market intelligence. Prepare reports on customer inquiries, sales trends, and service issues.
Skills & Qualifications
Typically requires vocational training (or equivalent experience) and several years of relevant work experience to carry out the role.
Strong organizational and multitasking skills.
Proficiency in CRM systems and Microsoft Office.
Excellent communication and customer service abilities.
Attention to detail and ability to work independently. Experience in sales administration or customer support preferred.
1) Commercial Proposals & Customer Documentation
Prepare commercial proposals for spare parts and related items in coordination with Sales Engineers.
Support review and processing of customer supply contract documentation (under supervision of Sales Engineers).
Ensure commercial documents are consistent, complete, and compliant with internal standards before submission.
2) Commercial Coordination & Internal System Administration (SAP/ERP)
Maintain accurate and audit-ready commercial documentation and key transaction data in SAP/ERP (under supervision of Sales Engineers) to enable timely execution.
Coordinate, monitor, and follow up on request status and key milestones (timing control, action tracking, exception handling).
Act as a communication hub between customers, factories, and internal departments (logistics, accounting, engineering/design) to ensure smooth progression of requests and deliveries.
Coordinate technical documentation approval between factories and customers; ensure timely feedback loops and closure of comments.
3) Sales Promotion & Marketing Support
Organize and coordinate participation in industry exhibitions and trade shows (logistics, booth preparation, and onsite support).
Manage the availability, translation, and distribution of marketing materials, including brochures, technical catalogues, and flyers.
Source, inventory, and manage the distribution of corporate souvenirs and branded gifts for customers and partners.
4) Documentation Control, After-Sales & Reporting
Implement customer comments and required updates into technical and commercial documents (accuracy and traceability).
Register and track warranty cases; ensure complete documentation and proper handover to relevant teams.
5) Tender & Bid Support (Kazakhstan, Central Asia and the Caucasus)
Prepare and compile tender documentation packages for projects, including work with electronic tender platforms.
Coordinate collection, formatting, and verification of required technical/commercial attachments.
Manage document version control, deadlines, and submission readiness; escalate risks early.

Fluent Russian (business level, written and spoken).

Kazakh is an advantage, not mandatory.
Tools & Digital Skills
Advanced MS Office (especially Word and Excel; PowerPoint skills for marketing presentations are a plus).
Experience with SAP/ERP is an advantage (not mandatory—can be trained).
Experience (Flexible)
Experience in sales support, tendering, commercial coordination, or administration in engineering/manufacturing, industrial equipment, and international environments is preferred.
Success Indicators (First 90 Days)
Demonstrates consistent quality under pressure (deadlines, parallel tasks, high information volume).
Keeps SAP/ERP commercial records and document repositories accurate, complete, and up to date.
Establishes a reliable follow-up cadence with customers, factories, and internal functions; proactively escalates blockers.
Independently manages tender documentation packs and commercial document workflows with minimal rework.
