SUMMARY:
The Administrative Assistant provides administrative support to the Senior Vice President (SVP) and the leadership team at 360 Management Group. This role is responsible for ensuring efficient daily operations by performing a variety of administrative, clerical, and organizational tasks. The Administrative Assistant will serve as a key point of contact for internal and external stakeholders, coordinating communications, managing schedules, and supporting company-wide initiatives. The Administrative Assistant works a 35-hour workweek, Monday through Friday, 9:00 a.m. to 5:00 p.m. Evening and weekend work may be required as job duties demand.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
1. Executive & Administrative Support
Provide direct administrative support to the SVP and leadership team, including managing calendars, scheduling meetings, and handling correspondence.
Draft, edit, and format internal and external communications, reports, presentations, and other documents.
Prepare meeting agendas, take detailed minutes, and track action items for follow-up.
Assist with the coordination of meetings and company-wide events.
2. Operations & Office Management
Maintain organized filing systems (both electronic and physical) for contracts, records, policies, and reports.
Enter invoices, expense reports, and purchase orders, for approval ensuring compliance with company policies.
Assist with data collection, tracking, and reporting for various company projects and initiatives.
Handle incoming and outgoing mail, including sorting, distributing, and preparing documents for mailing.
Coordinate package deliveries and ensure timely distribution to appropriate departments.
Order and manage office supplies, ensuring adequate inventory for daily operations.
3. Communication & Coordination
Act as a liaison between the leadership team and staff, ensuring clear and effective communication.
Handle confidential and sensitive information with discretion and professionalism.
Respond to inquiries from internal and external stakeholders in a timely and professional manner.
4. Project Support & Special Assignments
Assist with property management, compliance, and operational projects as directed by the SVP.
Support Operations, and Compliance teams with administrative tasks as needed.
Perform research and compile data for reports and presentations.
Ensure smooth execution of company initiatives and provide administrative support as required.Requirements:

Strong organizational and time-management skills with the ability to multitask and prioritize workload.
Excellent verbal and written communication skills with strong attention to detail.
Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams) and other office productivity tools.
Ability to handle confidential information with discretion and professionalism.
Problem-solving skills with a proactive and adaptable approach to challenges.
Ability to work independently and collaboratively within a team-oriented environment.

EDUCATION AND EXPERIENCE:
High school diploma, GED or equivalent required and 2-4 years of administrative experience, preferably in affordable housing, property management, real estate, or nonprofit environments.
Experience supporting senior-level executives or leadership teams is highly desirable.
